Key Responsibilities:
* Provide high-level administrative support to the Development Manager.
* Maintain policies and company rules, ensuring consistent quality work.
Main Duties:
* Prioritize work to meet deadlines and targets.
* Coordinate basic works, dealing with contractors and estate staff.
* Draft correspondence with good written grammar.
* Handle resident enquiries and escalate when necessary.
* Update and facilitate the sale of fobs and remotes, programming as required.
* Liaise with contractors on site and manage key handling, following up as needed.
* Maintain and update estate databases, including Welcome packs, Purchase Orders, and software systems.
* Manage the estate purchase ordering system, placing POs via MRI Qube.
* Send electronic Welcome packs to new tenants and follow up on non-received details.
* Communicate with parking companies and handle related correspondence.
* Record water meter readings upon request and monthly water/electricity readings.
* Manage fingerprint clock-in system and invoice processing.
* Handle telephone and email enquiries, updating the team on current issues.
* Meet and greet clients, residents, and contractors.
* Handle all written correspondence for the team.
* Maintain electronic filing systems.
* Liaise with various stakeholders including estate agents, tenants, surveyors, and personnel.
* Check estate internal postboxes regularly.
* Send monthly newsletters and updates to residents and lessees.
* Assist with estate management tasks as directed.
* Adhere to relevant legislation and work within budget constraints.
* Proactively solve problems and suggest improvements.
* Produce reports, including gym usage and data collations.
* Manage stock and supplies for cleaning, stationery, and first aid.
