We have a fantastic opportunity for an Operational Support Assistant to come on board and be a part of our amazing team based on-site in our Bicester office. Initially, we can offer a 12-month fixed term contract on a full time or part time basis, for part time, we require a minimum of 25 hours per week. You will have the chance to work closely with our operations team and ensure the smooth and efficient running of HEOR's growing business.
As the Operations Support Assistant, excellent time management skills and the ability to effortlessly handle multiple tasks at once are essential. In this position, you will have a diverse range of responsibilities including administrative duties, facilities management, organizing events, and coordinating travel.
Key responsibilities will include;
* Supporting and co-ordinating initiatives within the business which add value through improving efficiencies; collaboration, utilisation of best practice, standardisation and automation, and compliance.
* Supporting the operations manager to coordinate and support booking/organisation and logistics of staff events, off-site workshops, team days, and conference attendance.
* Supporting the executive leadership team with travel bookings and ad hoc conference or business development meeting arrangements.
* Coordinating monthly reviews with our travel platform provider and account manager, recording escalations using or reporting tool with guidance from the operations manager.
* Overseeing the day-to-day maintenance of the office space, including cleanliness and organization and team catering requests.
* Supporting the marketing and communications director with onsite employee engagement initiatives. i.e team fundraisers, charity events, lunch time competitions, world celebration days etc.
* Liaise with external vendors for office repairs, maintenance, and equipment purchases.
* Reviewing supplier terms and conditions to support vendor onboarding and renewals for facilities management.
* Reporting facilities risks and escalations to the operations manager when applicable.
* Supporting the operations business function with reporting on compliance requirements.
* Working with the operations manager to develop a preferred suppliers list and procurement process for facilities management across the Bicester and Cardiff Office.
Requirements
* Proven experience in a similar administrative or operational support role
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
* Experience in the field of facilities management
* An understanding of Health & Safety in the workplace
* Excellent organisational and time management skills
* Strong attention to detail and accuracy
* Effective communication and interpersonal skills
* Ability to handle multiple tasks and prioritise workload
* Flexible and adaptable, with the ability to work well in a fast-paced environment
* Positive attitude and willingness to learn
