Role Overview
We are seeking a proactive, highly organised Resourcer / Admin Assistant to support recruitment and operations across both TIFA Life and TIFA Recruits. Based in our Swansea office, you will lead on staff onboarding, maintain property and compliance records, and provide day-to-day admin support to the Managing Director — including involvement in property sourcing.
This is a varied role with lots of opportunity for growth as the company expands.
Key Responsibilities
Staff Onboarding & Recruitment (TIFA Life & TIFA Recruits)
* Manage onboarding for new staff: document collection (ID, Right to Work, DBS, references, training certificates)
* Schedule and confirm interviews and inductions
* Maintain up-to-date staff compliance logs
* Assist with posting job adverts and responding to applicants
* Liaise with agencies, candidates, and internal managers
Office & Admin Support
* Maintain all property compliance records (e.g., gas safety, fire alarms, landlord registration)
* Track certificate renewal dates and alert managers in advance
* Support with staff rotas, payroll inputs, and shift planning
* Maintain document trackers, spreadsheets, and shared folders
* Organise digital and hard copy filing systems
* General office administration including printing, filing, scanning, call handling, and coordination
Property Sourcing Support (Optional / Developmental)
* Research and log suitable properties for supported accommodation use
* Contact agents and schedule viewings
* Maintain a list of available or upcoming properties
* Support the property manager in due diligence paperwork and reports
Required Skills & Experience
* Previous experience in recruitment, HR, or admin role
* Excellent organisational and time management skills
* Strong attention to detail and ability to follow up tasks without reminders
* Confident with Microsoft Excel, Word, and basic digital filing systems
* Good written and verbal communication
* A team player, able to work with managers and frontline staff in a fast-paced environment
* Discretion and professionalism when handling sensitive information
Desirable (Not Essential)
* Experience with staff compliance (DBS checks, Right to Work, training)
* Experience working in health, social care, or housing
* Familiarity with local property rental platforms or lettings processes
* Full UK driving licence (useful for potential property visits)
