Job Overview The Associate General Manager undertakes the day-to-day running of selected productions, leading on a number of General Management tasks on their own and working with the Executive Director on larger tasks and strategic management. AGMs have the services of a Production Assistant to support them and are the principal point of liaison for internal and external colleagues. All members of the office production team support the managing of productions with a variety of tasks as directed by the Producers or Executive Director. The Associate General Manager will provide efficient and effective production, creative and administrative support and leadership to ensure the successful delivery of theatre of the highest quality. The successful candidate will have demonstrable experience in a similar position, as they will immediately start working on the day-to-day running of Oh, Mary! and the pre-production for a West End transfer to be announced. Responsible to: Executive Director Please apply by sending a cover letter and CV via Guardian Jobs. Main Duties and Responsibilities Draft production budgets with the Executive Director. Implement the running and expenditure of the budget and reconcile the expenditure at the end of the run. Co-ordinate the recruitment process, drafting job specifications and advertisements, taking interviews and negotiating deals for all production staff. Negotiate deals for creative teams, cast and stage management in line with budget and union agreements both independently and in collaboration with the Executive Director. Maintain a record of deals done and ensure that all contracts are issued and accurately reflect these deals. Work closely with the Company Manager of each show on the management of all production personnel including resolving any HR matters which may arise. Work closely with the Production Manager of each show on the management of the production. Attend marketing and press meetings, with the ability to coordinate all logistics relating to press, marketing and promotional events, liaising with the press and marketing teams, performers, production departments, external venues, media outlets and broadcasters as applicable. Work closely with the Health and Safety Consultant on each show to ensure health and safety policies and procedures are implemented and followed. With the Executive Director produce and arrange the distribution of the Investment Prospectus and draft and issue investment papers Ensure all aspects of the production are suitably insured. Monitor developments in union agreements and ensure that Wessex Grove fulfils its obligations as an employer. Assist with the negotiation of contracts for theatres as required. Check theatre settlements. Check and sign off the weekly payroll, setting up payroll and timesheet spreadsheets at the start of a production. Manage the workload of Production Assistants and Production Coordinator’s as required. Oversee visas, work permits and appropriate tax exemptions where necessary for foreign personnel involved in UK productions. Oversee travel, transport, accommodation and per diems. Produce and distribute schedules and welcome packs as necessary, and meet and greet visiting artists on arrival in the country. Set up royalty spreadsheets and issue royalty statements. Be the first point of contact for external accountants to help with reconciliation and coding of payments, invoices, and petty cash. Organise any individual or company training required. Manage the compiling of production programmes. Attend running shows, including cover runs, on a regular basis. Organise and attend access performances and stay abreast of developments in this area. Ensure that all decisions made for productions are conducted in a timely manner and communicated to all relevant parties. Deputise for the Executive Director and cover for Production Coordinators / Assistants as necessary. Any other duties as reasonably requested by the Producers or Executive Director. Period : Fixed term, full-time contract Hours : 10am – 6pm, Monday-Friday. Flexible hours will be required within the 40 hours per week. Benefits include : Discretionary Performance Based Bonus; Contributory Pension Scheme; Wellbeing Programme; Theatre Ticket Allowance. Holiday : 20 days plus public holidays, increasing by 1 day for each year of service up to a maximum of 25 days per annum. Notice period : 3 months
