Job Summary
We’re looking for an organised and detail‑orientated System and Data Administrator to support and manage information on behalf of our busy operations teams – including Engineers, Facilities Managers and Security Staff. Reporting directly to our Head of Data and Improvement, you’ll play a key role in maintaining our core databases and shaping new data collection processes. You’ll work closely with colleagues across the business to gather, manage and interpret information, ensuring data accuracy and providing valuable insights to highlight gaps and risks.
Key Responsibilities
 * Set up, maintain and manage databases to track people, site and compliance data.
 * Establish and own processes for gathering and updating operational information (e.g. site closures).
 * Manage user access and accounts on key systems, ensuring data integrity and security.
 * Raise IT tickets to facilitate data changes and resolve issues/errors.
 * Administer onboarding and exit processes – ordering equipment, setting up access and storing certification evidence.
 * Prepare and distribute accurate data and reports ahead of monthly performance reviews.
 * Build strong, collaborative relationships with internal teams and customer stakeholders.
 * Support the Head of Data and Improvement with data quality initiatives and small improvement projects.
 * Assist in setting up new suppliers and sites within systems, ensuring operational readiness.
Professional and Personal Competencies / Qualifications
 * Strong data experience and advanced Excel skills (you will be asked to demonstrate these).
 * Analytical and highly organised, with exceptional attention to detail and accuracy.
 * Experience using or willingness to learn Power BI and other data visualisation tools.
 * Confident managing databases and data processes.
 * Quick learner with a flexible, proactive approach.
 * Excellent communication skills, able to engage with a range of stakeholders.
 * Familiarity with supplier or site setup processes advantageous.
 * Team player with a conscientious attitude and a commitment to maintaining high standards of data and documentation.
