Dental Receptionist

We are looking for a professional and organised Dental Receptionist to support the smooth and efficient running of the Emergency Dental Service.
In this role, you will provide a range of reception and clerical duties, working closely with Dental Officers and Dental Nurses to ensure patients receive a high‑quality service. You will be responsible for managing your own workload on a daily basis, including appointment handling, record keeping and general administrative tasks.
You will act as a first point of contact for patients, both in person and over the telephone, demonstrating excellent communication and customer care skills at all times. A professional manner and a compassionate approach are essential, alongside a clear understanding of the importance of confidentiality.
Working within Health Board policies, you will use your initiative to manage tasks effectively while recognising when to seek guidance or support. This is a varied role well suited to someone who is reliable, flexible to meet the needs of the service, and able to work efficiently in a busy patient‑facing environment.
Main duties of the job
* Be responsible for updating the Out of Hours Service with details of patient treatment and outcomes.
* Undertake general Reception duties such as greeting patients and answering the telephone, either dealing with the query or referring to an appropriate member of staff.
* Liaise with Out of Hours regarding appointments.
* Deal with general queries and recognise when issues are more complex and require referral to other members of the Healthcare Team.
* Organise own tasks/plans and prioritise own workload.
* Ensure Dental Records/Notes are available for the appropriate Dental Officer.
* Receive and record any payments as they arrive and liaise with the Assistant Directorate Manager.
* Replenish stocks of forms as required.
* Replenish printers with paper.
* Monitor waiting rooms to ensure they are kept in a reasonable neat and tidy manner.

Person Specification
Knowledge/Experience
* Knowledge of administrative systems, admission, patient information systems, hospital departments, clerical / office procedures, data input procedures acquired through on‑the‑job training.
* Basic numeracy/ literacy skills GCSEs English and Maths or equivalent experience.
* Experience in working in a busy environment and within a multi‑disciplinary team.
* Knowledge of how a busy dental service functions.
* Experience in working within a busy EDS setting.
* Ability to use Adastra clinical system.
* Awareness of the wider issues within the NHS.
Skills
* Able to maintain strictest confidentiality at all times.
* Ability to deal with challenging/emotional situations.
* Excellent communication and interpersonal skills.
* Good organisational skills.
* Administrative and secretarial skills.
* Welsh language skills in Speaking/Listening at Level 3 or above.
