We are seeking a professional and well-organised Receptionist to join our team based at St Andrews Business Centre in Mold on a part time basis, working two days a week – Wednesday and Friday.
The successful candidate will provide an efficient and welcoming front of house service to tenants of the Business Centre and to the wider P&A Group of Companies. This role is central to maintaining the professional image of the organisation and ensuring the smooth day-to-day operation of the reception and administrative functions.
Key Responsibilities
* Provide a warm and professional welcome to all visitors, ensuring queries are handled courteously and efficiently, both in person and over the telephone.
* Operate the switchboards for St Andrews Business Centre and P&A Group, directing calls appropriately and maintaining a high standard of customer service.
* Support the administrative requirements of the Business Centre, including managing tenancy agreements, correspondence, and general office records.
* Assist with a range of administrative tasks for the P&A Group as directed by the PA to the Directors.
* Maintain accurate and up-to-date directories of tenants and P&A personnel to facilitate efficient communication.
* Ensure the reception desk is covered at all times, maintaining accurate handovers to provide continuity of service.
* Collaborate with colleagues to ensure full reception cover during absences, including holidays and sickness.
* Manage incoming and outgoing post, ensuring timely distribution and collection.
* Coordinate meeting room bookings for tenants and staff, ensuring rooms are clean, presentable, and ready for use.
* Uphold security procedures by ensuring all visitors sign in and out, and that keys are securely stored and monitored.
* Maintain a clean and safe reception area, conducting regular checks in line with Health & Safety guidelines.
* Report maintenance issues promptly to the relevant personnel and assist with building safety procedures, including regular fire alarm tests.
* Carry out any other reasonable duties as required to support the smooth running of the Business Centre and the wider Group.
About you
* Good standard of literacy and numeracy (GCSE or equivalent in English and Maths).
* Competent user of Microsoft Office applications.
* Experience in a front-facing customer service environment.
* Minimum of one year’s office administration experience.
* Strong communication skills, both written and verbal.
* Well-organised, with excellent attention to detail.
* Able to work independently and manage competing demands.
