Job Advert – Personal/Team Secretary (Band 3)

Hours: Full-time 37.5 hrs, Mon-Fri 9am-5pm
Pay: £12.75 per hour / Band 3
Contract: Temporary ongoing
Role Summary
We are seeking an organised and motivated Personal/Team Secretary to provide high‑quality secretarial and administrative support to the CMHT Team Leader and wider team. The role involves diary management, preparing documentation, minute-taking, handling enquiries, maintaining records and supporting the smooth operation of the office.
Key Duties
1. Manage diaries, appointments and meetings.
2. Provide administrative support including typing, filing, photocopying and email management.
3. Produce letters, reports and documents to a high standard.
4. Take minutes and prepare meeting documentation.
5. Handle calls, enquiries and incoming/outgoing mail.
6. Maintain filing systems, records and spreadsheets.
7. Liaise with internal staff and external agencies.
8. Support complaints processes and assist with data collection.
9. Provide cover for administrative staff when required.
Essential Criteria
10. 4 GCSEs (A*-C) including English or equivalent
AND
11. 1-2 years’ clerical experience using Microsoft Office (depending on qualifications)
12. Minute‑taking experience (for roles requiring it)
13. RSA/OCR Stage II Typing/Word Processing or 1 year’s ICT experience
14. Experience in diary management, organising meetings, and Excel data presentation

15. Strong communication skills
16. Ability to work independently and as part of a team
17. Able to work under pressure and meet deadlines
18. Good knowledge of Microsoft Office and Records Management
19. Understanding of confidentiality, data protection and patient rights
