Lived Experience & Co-production Business Support Manager

We are looking for an exceptional Business Support Manager to play a pivotal role in supporting our Lived Experience and Co-production Directorate. This varied and influential role works closely with senior leaders to coordinate activity, drive improvement, and ensure lived experience and co‑production are embedded in everything we do.

For more information, the role is open only to internal employees of the Staffordshire and Stoke-on-Trent Integrated Care System.


Responsibilities

* Provision of direct administrative and project support to the Lived Experience Leadership team, including initiating and actioning correspondence, servicing meetings, and producing business documentation and presentations.
* Provide professional leadership to the Lived Experience & Co-production Administrator.
* Manage internal projects and leadership of implementation of internal and Trust policies, providing high‑level administrative advice and support to staff at all levels.
* Review and report on staff performance, set standards and objectives, identify training and development needs, and manage sickness absence in line with Trust policy.
* Take lead responsibility for internal communications using Teams, SharePoint and email.
* Arrange appropriate representation at meetings for the Lived Experience Leadership Team.
* Advanced use of Microsoft Office 365, e.g. Teams, Stream and Forms, to facilitate communications, manage diaries and promote new functionality.
* Assist the Lived Experience Directorate with monthly Nominal Roll, leave and expense returns, providing reports as necessary.
* Arrange and service multi‑organisational meetings, drafting agendas, collating and circulating documentation, producing formal minutes and pursuing progress; coordinate briefings, learning huddles, training workshops and events, including venue selection and equipment provision.
* Draft reports and outcome letters for the Lived Experience Leadership Team in accordance with Trust policy, providing outcomes within set timescales following formal investigations such as PALs, complaints, HR inquiries, serious incidents and coroners Inquest.
* Provide cross‑cover within the Lived Experience Administration Support Team to ensure a seamless service, working closely with and providing leadership to the Co‑production and Involvement Administrator.
* Act as a liaison point between staff, customers, operational management teams and the Directorate Senior Leadership Team.
* Collate/draft and issue all emails within the Lived Experience Directorate, ensuring staff are kept informed of any issues.
* Assist in the distribution of IT equipment and building fobs for the Leadership Team.
* Collate CQC evidence and prepare for CQC visits; support operational management with CQC requirements.
* Undertake audits as required.
* Understand the business aims of the Lived Experience Directorate and the impact of service delivery.
* Maintain up‑to‑date knowledge of administrative, office management and ICT systems, equipment and procedures, undertaking training as necessary; including best use of IT applications, project management skills, managerial skills, health and safety and personnel procedures.
* Complete mandatory HR documentation and electronic processes for staff changes within the Leadership team (starters, variations, terminations).
* Undertake recruitment and selection processes for head‑of‑service and service‑lead roles, utilising TRAC Jobs as a recruiting manager.
* Induct new staff on health, safety, security and general policies and working conditions within the operational management team.
* Maintain personnel files for the Lived Experience Directorate.
* Provide advice and training on directorate‑wide and departmental policies within own area.
* Communicate confidential, sensitive or complex information on behalf of self and others, including commercially sensitive, personnel, project and budgetary data.
* Employ tact, diplomacy and negotiation skills to seek cooperation and agreement on joint initiatives from representatives across MPFT.
* Arrange suitable representation for the Leadership Team in absentia.
* Design and develop an electronic filing system to replace paper‑based records.
* Collate information in a variety of formats to produce reports (e.g. activity reports) using Microsoft Word, Excel and PowerPoint.
* Promote effective use of electronic tools to improve efficiency across administrative teams, including Teams, Rio, Forms and other Office 365 applications.
* Responsible for acquisition of stock and non‑stock items within delegated budget.
* Work on own initiative with minimal supervision to prioritise and deliver own work and that of the Lived Experience Directorate in meeting organisational objectives.
* Take decisions and actions on behalf of or in the absence of the Leadership Team within delegated authority.
* Manage and assist with projects on behalf of the Leadership Team.
* Provide training to staff within own area.
* Responsible for apprentices and/or bank workers, allocating work and overseeing day‑to‑day supervision, sickness and annual leave.
* Propose changes to working practices and directorate policies as part of continual service improvement.
* Support the Deputy Director for Lived Experience and Associate Director with the creation and implementation of Business Plans and Annual Reports.
* Undertake internal audits on compliance with current business practices and policies.


Qualifications & Training

* Degree level education in a related field (e.g. Business management/administration) or equivalent proven experience.
* NVQ/OCR level 3 or equivalent in administrative subjects (e.g. word processing or data production).


Experience

* Substantial experience in a senior administrative role.
* Production of documentation, including drafting documents on behalf of operational management teams.
* Use of Microsoft Outlook for email, task and diary management, including management of multiple diaries and inboxes.
* Use of Microsoft 365 suite, including Teams, Sway and Stream.
* Use of Microsoft Excel to produce and maintain complex spreadsheets.
* Use of Microsoft PowerPoint to produce presentations.
* Arranging and servicing meetings at Board level, including production of minutes.
* Management and motivation of staff, allocation of work and progress chasing.
* Recruitment and selection of staff and experience of personnel procedures.
* Complete audits and identify areas of learning with set timescales.
* Collating and analysing data; identifying trends and themes.
* Undertake projects to meet timescales for completion.
* Purchasing of consumables, stock and equipment.
* Understand Trusts complaints, PALs, formal investigation procedures and work in partnership with MPFT Corporate Teams to meet Trust timescales.
* Implementation and monitoring of Trust policies and procedures.
* Monitoring of health and safety and security procedures and processes.
* Arranging conferences and workshops.


Skills, Knowledge & Abilities

* Excellent organisational skills.
* Computer literate in Microsoft Office applications to an advanced level.
* Knowledge of secretarial and administrative procedures, including developing new systems.
* Use of initiative and ability to prioritise, work to tight deadlines and without supervision.
* Accuracy and good command of grammar, spelling and punctuation.
* Effective communication skills at all levels.
* Knowledge of NHS policies and procedures.


Personal Attributes

* Ability to travel to other locations within MPFT.
* Demonstrated flexibility to meet tight deadlines and Directorate needs.
