Role Overview
The PDI Administrator plays a vital role in the functioning of our Fleet department. This position supports the administrative functions of the PDI department to help ensure the smooth and efficient processing of vehicles. With a focus on job card costing, contractor coordination, and managing transport or onsite damages, the PDI Administrator contributes to maintaining the Pentagon Group’s reputation for quality and excellence.
Reporting Structure
• Reports To: Aftersales Manager
• Key Relationships:, Aftersales Manager, Head of Fulfilment, Workshop Controller, Parts Department, PDI Department, Colleagues within the Fulfilment and Corporate Fleet departments.
Main Purpose of the Role & Key Responsibilities
1. Carry out administrative tasks within the PDI department to support smooth daily operations.
2. Work closely with the Workshop Controller to coordinate vehicle flow and requirements.
3. Ensure all vehicles are recall-checked before delivery.
4. Accurately complete job card costing and maintain associated financial documentation.
5. Liaise with contractors visiting the site for fitments, ensuring work details and completion are properly recorded.
6. Process transport claims for any vehicles damaged upon arrival.
7. Assist in monitoring and documenting onsite damages and coordinating required repairs.
8. Support warranty claim processes by preparing and submitting relevant documentation.
9. Provide administrative cover for PDI and Parts when required.
10. Follow all company policies, procedures, and quality standards in daily tasks.
11. Escalate issues or concerns promptly to the Aftersales Manager.
12. Contribute to ongoing improvements within the department to enhance efficiency and service quality.
The Working hours are Mon- Friday 08:00 - 17:00

13. Maintain high levels of accuracy in job card costing and documentation.
14. Support the department in meeting operational efficiency and workflow targets.
15. Communicate effectively with contractors and the Workshop Controller to ensure smooth coordination.
16. Help minimise delays and errors in vehicle inspections, repairs, and fitments.
17. Uphold company standards for safety, compliance, and quality across all PDI activities.
18. Contribute to process improvements through proactive suggestions and attention to detail.
19. Support a clean, safe, and productive working environment.
20. Demonstrate Pentagon Group’s core values through professional conduct and quality of work.
21. Contribute positively to the workshop team’s culture and overall performance.
