About the Role
The main objective of this role is to assist the Events Team to plan and deliver the Council’s Community Events. To attend and assist at Civic Events and Charity Fundraising events and work with other organisations and partners on partnership events, when applicable. You will work as part of a team to provide the Council’s program of Community Events, which are recognised as leaders in their sector, alongside the Events Manager, Events Officers and Mayor’s Personal Assistant.

Job Responsibilities
* To discuss with the Events Manager the current events program and ways to develop new imaginative activities at the events.
* To be part of the Events Team supporting the planning and delivery of community events throughout the year.
* To manage the coordination of Aylesbury’s events, including ATC’s events, for the annual Heritage Open Days festival.
* To engage with local communities, schools, individuals and other groups to involve them with ATC’s events across the year.
* Liaise and communicate with event suppliers and contributors throughout the planning and delivery stages of the events to ensure all paperwork is supplied.
* Contribute to a comprehensive review of each event to evaluate its success and identify any improvements for the future.
* Collect event attendees’ feedback as part of the event evaluation.
* To work closely and effectively with the Events Team to ensure the youth of the parish are represented at community events and have the opportunity to engage.
* Work with the Mayor’s chosen charity to increase fundraising opportunities at all events.
* Liaise with the Finance Officer to ensure invoices are sent out to companies for advertising, food & drink pitch fees and that income has been received and is recorded accordingly.
* Accurately track any money donations collected during the events and report the amount on the event evaluation and liaise with Mayor’s PA to ensure correct banking.
* Set up and maintain electronic and hard copy files as appropriate.
* To produce reports, spreadsheets, correspondence and presentations in-line with branding guidelines.
* To work as part of the Communities Team within ATC, contributing to an effective and efficient department.
* Support other ATC team members wherever appropriate.
* Nurture relationships with other internal departments and colleagues to ensure collaboration and support for events.
* To attend events and represent ATC as required or requested by the Town Clerk, Deputy Town Clerk and Events Manager.
* You may be required to carry out other role-related duties that are not limited to the responsibilities listed in this job description.
Person Specification
* Strong organisational skills, ability to work under your own initiative and to effectively prioritise work structures and processes.
* Confident communication skills; presenting, verbal and written.
* Deliver great customer service building on relations with internal and external stakeholders.
* Competent to intermediate level in Microsoft Office programmes such as Word and Excel.
* Occasional weekend work will be required for the delivery of events, so flexibility will be required. During events, this will involve manual handling such as moving boxes and packing away event equipment.
* Full and current valid UK Driving Licence is preferable.
