Job overview

The role with be pivotal to the smooth running of the Early Screening and Prehabilitation Service provided by the Pre-operative Assessment Department. The post holder will work closely with the Early Screening practitioner in the identification of patients who need additional support prior to elect surgery to ensure they are full optimized prior to their Pre-op assessment in respect of weight, exercise levels, diabetes management as well as smoking cessation.

Main duties of the job

·Toprovideadministrativeandclericaldutiesandsupportthedepartmentalteam.

·Organiseownworkloadandworkindependently,respondingtourgentrequests andfrequentinterruptionsduringthe working day.

·Touse Careflow or any alternative PAS/EPR system introduced by the Trust to book new appointments, to check patients in to clinic and to discharge them

·To be a conduit for information between patients, health coaches and other healthcare professionals as required.

Person specification

Education, Qualifications and Training

Desirable criteria

1. GCSE English Language and Maths Grade C (or equivalent)
2. Two equivalent ‘A’ levels and Experience to NVQ level 3 or equivalent, knowledge of healthcare settings acquired through training and experience

Experience

Essential criteria

3. Experience of working within peri-operative pathways especially Prehabilitation and Pre-op Assessment
4. Experience of working within a busy office environment
5. Experience of working with clinical systems including Careflow, Evolve, Synopsis & Graphnet
6. Extensive experience in office administration within an NHS setting
7. Experience of dealing with difficult situations
8. Understanding of Data Protection Act and confidentiality

Skills, abilities and knowledge

Essential criteria

9. Excellent communication skills and ability to adjust communication styles to meet needs of all stakeholders
10. Ability to organise and prioritise workload effectively
11. Knowledge of good office and administrative practice
12. Skilled in active and reflective listening, building trust and rapport quickly with stakeholders
13. Ability to work with minimal supervision and act decisively or ask for help as required
14. Willingness to cover the duties of other admin staff with the Department
15. Ability to define, collate, analyse and interpret data
16. Ability to utilise databases and information technology, including word processing, spreadsheets and presentation packages effectively
17. A high level of administrative skills

18. Knowledge of taking and transcribing minutes

19. Ability to work and travel at all sites within the Trust should the need arise
20. Able to maintain a flexible approach to the role and duties
