Inthe Neurophysiology department, we are looking for a friendly, self-motivatedand enthusiastic individual to provide comprehensive administration service andclerical support and be a part of our team Leeds General Infirmary. You will bejoining our supportive and positive team that combines of administration staff,physiologists and doctors.

Thispost is a substantive post for 37.5 hours per week, 8:30am until 5:00pm with anhour for lunch. During the interview you will be asked to complete a typingassessment.

Main duties of the job

Thesuccessful candidate will be within the Neurophysiology team to facilitate thesmooth and efficient delivery of the patient administration pathway fromreferral and throughout the outpatient/inpatient process. You will be providingan efficient, effective and accurate administrative duty to support thedelivery of high standard and cost effective treatment of patients.

Theresponsibilities of this role include general reception duties (e.g greetingpatients, answering the telephone etc), making outpatient appointments, typinginpatient and outpatient reports and correspondence, clinic coding, dealingwith patient enquiries and reports and other healthcare professionals andfiling of results. Therefore having excellent communication, being able to workas part of a team as well as being able to use own initiative and workingtowards deadlines are the skills to be successful at this role.

Job responsibilities

PRINCIPALDUTIES & AREAS OF RESPONSIBILITY

Providecover in reception e.g. act as reception clerk, dealing with queries frompatients, medical staff and outside agencies, including telephone enquiries.

Bookingpatient appointments using the PAS system.

Dealingwith correspondence, incoming and outgoing, that any senior member of thedepartment may require in a timely manner. This includes the monitoring of adepartmental email inbox and daily post.

Dealingwith telephone enquiries from patients, hospital staff and outside agencies andpatients including changing patient appointments.

Generalclerical duties which include filing, photocopying and faxing.

Arrangingambulance transport, portering services or nurse escorts for patients.

Typingof medical reports/patient details onto the PAS system.

Cashingup of clinics on PAS.

Otherduties

Toliaise with colleagues and other disciplines as necessary.

Tomaintain knowledge of systems and equipment based in the department.

Toparticipate in the appraisal process as outlined by Trust policies andprocedures.

Totake on additional and changing duties commensurate with the grade as definedby the Patient Services Co-Ordinator/Business Manager in response to demandsmade upon the Department.

12.SPECIAL WORKING CONDITIONS

i)PHYSICAL EFFORT:

Somemoving of stationary items eg reams of paper, medical files etc may benecessary.

ii)MENTAL EFFORT:

Concentrationcan be for prolonged periods of time when typing as length of medical reportsand tapes vary. Photocopying complex documents, collating and distributing ofsaid documents, daily typing, faxing and distributing of rotas on behalf ofsecretaries, taking telephone messages and covering forsecretaries/receptionist during periods of absence.

ii)EMOTIONAL EFFORT:

LimitedEmotional Effort needed.

iii)WORKING CONDITIONS:

The post holder is expected to travel to other sitesif required, via the Trust shuttle bus service

* To familiarise him/herself with the basic work and procedures of the department in order to answer patient enquiries and provide an effective and efficient clerical service
* Accurate typing and spelling ability
* Good interpersonal and communication skills & good telephone skills


Experience

* Previous NHS experience including Reception/Office Administration experience
* Knowledge of Medical Terminology Knowledge of PAS/Epro/PPM+/CARPs


Qualifications

* Experience in dealing with members of the public in a professional working environment.
* Keyboard/data entry skills are essential, basic knowledge of Word, Excel, Powerpoint, Outlook.
* Good communication skills are required, both written and oral.
* Qualifications - DesirableRSA II typing/word processing or equivalent
