Job Overview

The RUH is a designated teaching trust for the University of Bristol Medical School. The Bath Academy provides teaching placements for over 100 medical students at any one time.

The post requires a high level of initiative, problem solving and decision making on behalf of the Undergraduate Medical Dean to ensure that the day to day operational management of undergraduate medical education is smooth and efficient.


Detailed Responsibilities

* Organise undergraduate teaching in line with University of Bristol Medical School policies, with autonomy to adapt policies at the RUH and close collaboration with unit tutors.
* Provide management support to the Undergraduate Manager and Academy Dean, working unsupervised when required.
* Plan and coordinate cross‑organisational systems for local induction of medical students.
* Develop, implement and maintain departmental systems for complex student timetabling and elective placements, working across several organisations and with senior managers and clinicians.
* Assist the Undergraduate Manager with planning, coordinating and troubleshooting the Objective Structured Clinical Examination (OSCE) for 3rd and 4th year students, including recruitment of examiners and ensuring correct invigilation.
* Organise and attend medical education committees/meetings at the University of Bristol, the RUH and other Academies.
* Jointly responsible for the allocation of all undergraduate medical placements and contribute to student supervision.
* Process all student travel claims.
* Advise and support on all aspects of medical undergraduate education to students, senior managers and clinicians.
* Plan and coordinate Bristol Medical School courses, including HPE (Health Professions Education) and Long Case Examiner training for delivery at Bath Academy.
* Organise timetables, teachers and exams for all units, prioritising activities in line with programme deadlines.
* Act as first point of contact for a wide range of internal and external stakeholders, managing requests promptly and professionally.
* Provide pastoral care and guidance to undergraduate students on behalf of the Undergraduate Medical Dean on issues such as underperformance, mental health, ill health and bereavement, confidentially and sensitively.
* Maintain efficient systems for storing and retrieving information electronically or in hard copy, adhering to Royal United Hospital and University of Bristol policies.
* Record and monitor student attendance, ensuring compliance with Trust and UoB data protection and information governance policies.
* Adhere to Standard Operating Procedures and policies independently.
* Contribute to annual reports, reviews and inspection visits to key stakeholders of medical education.
* Co‑ordinate undergraduate units/courses as required due to staff leave, sickness or absence to maintain effective service.
* Ensure the Academy office, teaching rooms and student common room are fit for purpose and updated as necessary, managing equipment and resources efficiently.
* Authorised signatory for ordering stock and stationery and for travel expenses, organising payment for outside providers.
* Ensure all team members are up to date with mandatory training requirements, including revalidation for Clinical Teaching Fellows.
* Manage and promote awareness of security, health and safety within the Academy.


Person Specification


Qualifications

* Evidence of continuing professional development.
* Excellent standard of English, both written and spoken.


Desirable Qualifications

* Educated to graduate level or equivalent.


Knowledge and Experience

* Experience of developing excellent working relationships with senior level professionals.
* IT literate, able to use Microsoft Office.


Desirable Knowledge and Experience

* Medical knowledge and terminology.
* Previous experience working in an educational environment.
* Experience of managing staff members.
* Specialist knowledge of the Medical School curriculum.
* Knowledge of NHS terms and conditions of service.


Specific Skills

* Ability to work alone.
* Effective written communication and negotiation skills with a wide variety of people (students, clinicians, managers).
* Aptitude for organisational detail and ability to see a task through accurately from beginning to end.
* Ability to work under own initiative, manage time and prioritise workloads in busy and demanding circumstances.
* Able to support students, junior and senior medical staff who may need extra support and guidance to meet targets.


Physical/Emotional Skills

* Ability to communicate effectively in sensitive situations.
* Able to maintain confidentiality.
* Capable of working under pressure to meet deadlines and coordinate complex student timetables.
* Ability to perform manual handling duties, e.g., setting up for OSCE exams and moving equipment between floors.
* Occasional exposure to highly distressing or emotional circumstances due to pastoral care requirements for 100+ students.


Working Environment Requirements

* Daily VDU working.
* Ability to work out of hours on an occasional basis, with time off in lieu where appropriate.

Applicant Requirements

The postholder will have access to vulnerable people in the course of their normal duties and as such the post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020.
