In addition to our clinical services, we are proud to contribute to the field of palliative care education locally, nationally and internationally. Our Education Hub delivers a number of educational activities designed to meet the needs of our health and social care colleagues in the NHS, nursing homes, community teams and acute care settings.


Main duties of the job

We are looking for a dedicated and organised Education Administrator to join our team. Based in the Hospice, you will provide administrative support to the Education Hub, ensuring the smooth delivery of both internal and external education programs.

Responding promptly and professionally to enquiries

Coordinating training sessions

Booking courses for staff and external participants

Arranging rooms and resources for meetings and educational events

Recording training evaluations for all delegates

About us

St Clare Hospice is a charity providing specialist palliative care to improve the lives of people affected by a life-limiting illness in West Essex and the borders of East Hertfordshire.


Job responsibilities

* Act as the first point of contact for the Education Hub, responding to enquiries promptly and professionally, and advising or signposting as appropriate.
* Communicate effectively with a wide range of clinical and non-clinical staff, both within and outside the organisation, including external education partners.
* Develop and maintain positive working relationships with external agencies, ensuring accurate and timely information exchange.
* Book training sessions, courses, rooms, and resources for internal and external education activities.
* Support the planning and delivery of educational events, including conferences and workshops, ensuring smooth coordination and high standards of organisation.
* Record and manage training evaluations for both internal and external delegates.
* Accurately log and manage education-related data using the appropriate electronic record system, ensuring all information is recorded correctly and in a timely manner.
* Collate and maintain records related to course bookings, attendance, and follow-up actions.
* Generate and provide reports as required, such as education activity summaries and attendance data.
* Ensure education records and processes comply with internal policies and external quality standards.
* Provide administrative support for education-related meetings, including taking and distributing notes for planning meetings, working groups, and review sessions.
* Support and guide volunteers involved in education administration tasks, where required.
* Assist in training or onboarding staff in the use of education systems and processes.
* Support the administration of digital learning platforms and virtual training sessions.
* Continuously identify and implement improvements to administrative systems and processes to enhance the delivery of education.
* Work collaboratively as part of the Education Hub while also being able to prioritise tasks and work independently with confidence.

Other requirements

* Willingness to work flexibly to meet the needs of the service, including occasional early starts, late finishes, or event support.


Experience

* Proven experience in an administrative role, preferably within an education, healthcare, or training environment.
* Experience organising events, meetings, or training sessions.
* Experience working with internal and external stakeholders.
* experience supporting digital or virtual learning platforms.


Qualifications

* GCSEs (or equivalent) in English and Maths at grade C/4 or above.
* NVQ Level 3 in Business Administration or equivalent experience.
* Further education or professional development in administration, education, or healthcare.


Skills and Abilities

* Excellent written and verbal communication skills.
* Strong knowledge of administrative processes and procedures.
* Confident in using Microsoft Office applications (e.g. Word, Excel, Outlook, PowerPoint) and other relevant digital tools.
* High level of accuracy and attention to detail in all aspects of work, particularly data entry and record-keeping.
* Proficient in setting up and maintaining basic databases.
* Ability to prioritise tasks effectively and meet deadlines.
* Confident in dealing with a wide range of people, both internally and externally.
* Able to communicate clearly, concisely, and unambiguously.
* Emotionally resilient and able to work in a hospice environment where conversations about death and dying are a regular part of the role.
* Capable of coordinating meetings and events.

£15,285 to £16,059 a yearand inclusive of 5% High-Cost Area Allowance
