Job Description:
We have an exciting opportunity to join our Siemens mobility team in Goole as an Office Manager and Personal Assistant. We are looking for someone to provide comprehensive office management and management assistance to an executive within our Customer Service management team. The role involves acting as a key point of contact for internal and external customers, providing administrative support, and managing various office and event-related tasks.
Responsibilities include:
1. Scheduling appointments and meetings, managing calendars, and prioritizing tasks.
2. Coordinating travel arrangements and processing related expenses.
3. Organizing conferences and events in collaboration with communication teams.
4. Preparing correspondence, reports, presentations, and collecting data.
5. Managing meeting actions and supporting proposal development.
6. Supporting HR processes like onboarding, organization charts, and appraisals.
7. Liaising with external stakeholders and building professional relationships.
As an Office Manager, responsibilities include:
1. Managing staff such as Document Controllers, Project Administrators, and Receptionists.
2. Handling recruitment, setting targets, and conducting appraisals.
3. Overseeing office safety, liaising with real estate and service providers, and ensuring legal compliance.
4. Maintaining technical documentation and business continuity plans.
5. Participating in building management, fire safety, and maintenance activities.
6. Serving as the main point of contact for office inquiries and record management.
The role requires mobility to support activities across various sites in the UK. Success factors include experience in multi-site organizations, high-level administrative support skills, excellent communication, attention to detail, and confidentiality awareness.
Preferred qualifications include knowledge of Siemens tools and policies, German language skills, and experience in event management.
