Job Purpose
This is a pivotal role with a broad range of responsibilities across accounts receivable, accounts payable, and financial reporting. We are looking for a proactive and detail-oriented Assistant Financial Accountant to support the day-to-day financial operations of our dynamic team. Reporting to the Financial Controller, the Assistant Financial Accountant will manage our income collection and payment processing systems, maintain accurate ledgers, support financial reporting and compliance, and help ensure strong financial controls. The role also includes preparing for external audits and contributing to process improvements.
Key Responsibilities
Accounts Receivable
* Manage the full end-to-end process for BID levy income, ensuring ≥95% collection rate.
* Reconcile monthly BID receipts and investigate variances.
* Chase unpaid invoices by issuing monthly reminders and statements.
* Maintain levy records in Sage 200, including income tracking and invoice reallocation.
* Respond to queries from Westminster City Council (WCC), Capita, and levy payers.
* Raise invoices to WCC and process authorised write-offs and summonses.
* Manage voluntary contributions, recharges, and partner income – raising and reconciling invoices.
Accounts Payable
* Process all supplier invoices and purchase orders via Zahara, ensuring proper coding and approvals.
* Reconcile corporate card transactions using Webexpenses, ensuring accurate coding and VAT treatment.
* Prepare mid-month and month-end payment runs in Sage 200 and HSBC, including international payments.
* Maintain supplier records and update workflows in Zahara and Webexpenses.
* Reconcile bank accounts regularly to avoid discrepancies or duplicate payments.
* Assist with month-end processes and ensure timely upload of transactions into Sage.
* Support VAT return checks and ensure compliance with HMRC rules.
Other responsibilities
* Assist in year-end audit preparation: upload schedules, statements, and documentation to our auditors’ portal.
* Ensure compliance with company financial controls and contribute to ongoing improvements.
* Monitor shared inboxes and bank accounts; respond to payment and income queries.
* Update Phocas budgeting tool’s dashboards monthly with actuals and revised budgets.
* Support the Financial Controller and Head of Finance with ad hoc tasks.
Requirements
* Background in finance with a good understanding of accounting principles.
* AAT qualified or part-qualified accountant (ACCA, CIMA, ACA or equivalent).
* Proven experience with Sage 200, Webexpenses, and/or Zahara is desirable.
* Excellent attention to detail and strong organisational skills.
* Self-starter with a problem-solving attitude and ability to work to tight deadlines.
* Confident communicator with the ability to liaise effectively across departments and with external stakeholders.
