About the Role
We're looking for an organised and proactive Maintenance & Repairs Admin Coordinator to provide essential coordination and administrative support within Property Services.
You'll act as a key point of contact for repairs and void works, helping to prioritise workloads, support service delivery, and ensure our customers receive a professional, responsive service. You'll also support the Team Leader with scheduling, reporting, and meeting operational targets, while ensuring compliance with health and safety requirements - including Awaab's Law.
This is a busy, office-based role, ideal for someone who thrives in a fast-paced environment and enjoys working collaboratively.
What You'll Be Doing
1. Acting as the main point of contact for repairs, voids, and maintenance enquiries
2. Coordinating reactive repairs, planned works, and compliance activities
3. Logging and managing work orders using internal IT systems
4. Liaising with customers, contractors, operatives, and inspectors
5. Monitoring progress, prioritising tasks, and maintaining accurate records
6. Supporting health, safety, and compliance obligations (including gas, electrical, fire safety, and Awaab's Law)
7. Delivering excellent customer service across phone, email, and online portals
8. Supporting the Team Leader with scheduling, reporting, and administration
9. Gathering and responding to customer satisfaction feedback
10. Contributing ideas to improve efficiency, quality, and service delivery
You'll bring:

12. The ability to manage multiple priorities and work to deadlines
13. Confidence using IT systems and Microsoft Office (Word, Excel, Outlook)
14. A good understanding of property maintenance processes
15. Awareness of health & safety and compliance requirements
16. A proactive, problem-solving mindset and a willingness to go the extra mile
Essential Criteria
17. GCSEs (or equivalent) in English and Maths
18. Experience in an administration or coordination role within property services
19. Strong organisational and planning skills
20. Excellent written and verbal communication skills
21. Ability to work independently and as part of a team in a fast-paced environment
Desirable:
22. Knowledge of housing or property maintenance regulations
23. Experience delivering service improvements
24. Understanding of building maintenance tasks and timescales
