Your main focus will be using Cybake bakery management software to produce essential production paperwork for the bakers, packers and drivers.
Manage and process orders across all sites, liaise with wholesale customers, and ensure smooth administrative support for the entire operation. When time allows, you may also provide occasional help in one of our coffee shop areas.
This is a great role for someone who enjoys detailed admin work in a food production environment, has strong communication skills for dealing with multiple teams and customers, and can help keep everything running efficiently across our sites.
Key Responsibilities
• Use Cybake software to generate and produce daily/weekly production paperwork (e.g., production sheets, picking lists, order summaries, and reports) for the bakers and production teams across all 4 sites.
• Manage and input orders in Cybake, including monitoring site-specific requirements, updating stock/order levels where relevant, and ensuring accurate centralised processing.
• Act as the key point of contact for communication with the 4 sites and wholesale customers– liaise via phone, email, or Cybake tools to handle queries, coordinate orders, share production information, resolve issues, and support site teams.
• Handle wholesale customer communications (phone, email, or Cybake portal) – process incoming orders, manage amendments/special requests, confirm availability, deal with queries, and handle delivery/returns issues.
• Support overall office operations to keep the multi-site business running smoothly, including maintaining accurate records, updating customer/site details in Cybake, and assisting with basic invoicing/delivery documentation.
• Provide general administrative support across the business, such as data entry, filing, and bridging communications between the central office, production teams, sites, and front-of-house.
• When workload permits and business needs arise, assist in our coffee shop (e.g., serving customers, replenish product on display, basic cleaning, or helping during peak times).
• Ensure all tasks comply with food safety, hygiene, allergen, and company standards.
Essential Skills and Experience
• Previous office administration experience, ideally in food, retail, wholesale, production, or multi-site environments.
• Proficiency (or ability to quickly learn) Cybake bakery management software – experience with bakery ERP/production systems, multi-site order management, or similar platforms is highly advantageous.
• Excellent organisational skills and attention to detail for accurate order processing, paperwork, and record-keeping across multiple sites.
• Strong communication skills – confident liaising with site teams, wholesale customers, and colleagues via phone, email, and software tools.
• Good numeracy and IT skills (Microsoft Office/Outlook/Google Workspace; comfortable with cloud-based systems).
• Ability to prioritise tasks and manage time effectively in a busy, multi-site operation.
• Reliable, punctual, and flexible with hours.
• Friendly, proactive attitude with a team-focused approach.
Desirable
• Experience working with multi-site businesses or centralised support roles.
• Prior bakery, café, food wholesale, or production admin experience.
• Familiarity with wholesale order management, customer portals, or production planning software.
• Basic coffee shop/customer service experience (e.g., till work, barista basics).
