This role involves supporting the day-to-day operations of Cozy Properties by managing communications with landlords, tenants, and contractors, ensuring properties are efficiently maintained, and all administrative tasks are completed promptly and accurately. The role requires strong organisation, attention to detail, and excellent communication skills to keep everything running smoothly.
Key Responsibilities:
* Landlord Management:
* Maintain regular communication with landlords.
* Update them on rent payments, property issues, and tenant feedback.
* Ensure landlord agreements and documents are up to date.
* Tenant Management:
* Respond to tenant emails, calls, and maintenance requests promptly.
* Handle move-ins, move-outs, renewals, and deposit returns.
* Maintain accurate tenant records and ensure all compliance documents are filed correctly.
* Property Coordination:
* Arrange and track repairs, safety certificates, inspections, and property visits.
* Liaise with contractors and ensure work is completed to standard.
* Keep the property management system updated at all times.
* Administrative Duties:
* Register new landlords and tenants on the system.
* Draft tenancy agreements and issue documentation.
* Manage email correspondence and ensure all messages are replied to efficiently.
* Customer Service:
* Provide a friendly, professional service to landlords and tenants alike.
* Ensure all parties are kept informed and satisfied with Cozy Properties' service.
Skills & Requirements:
* Strong communication and organisation skills.
* Confident using property management software and email systems.
* Ability to multitask and prioritise under pressure.
* Understanding of tenancy law and property management (training provided if needed).
