Argyle Property Associates is an independent estate agency based in Beeston, Nottinghamshire. We handle residential sales and lettings across the Broxtowe area, managing a growing portfolio of properties for landlords and helping buyers and sellers navigate the local market.
We are a small, founder-led business at an exciting point in our growth. This is our first hire, and the right person will play a genuine role in shaping how the business operates as it scales.
The Role
This is a varied, hands-on role covering lettings operations, sales support, and the day-to-day running of the office. You will be the first point of contact for enquiries, the person who keeps applications and viewings moving, and the operational backbone of the business on the days you are in.
The role starts at two days per week. As the business grows, so will the hours and the scope. This is a genuine opportunity to grow with an independent agency from an early stage.
We are not looking for someone with a specific lettings background. We are looking for someone organised, confident on the phone, and capable of getting things done independently.
Key Responsibilities
Lettings Operations
* Act as the first point of contact for lettings enquiries, booking and confirming viewings
* Follow up with viewers after appointments to gather feedback and assess interest
* Process lettings applications end-to-end, including referencing, right-to-rent checks and guarantor arrangements
* Manage deposit protection registration and documentation
* Coordinate tenancy agreements and move-in appointments
* Monitor rent collection and flag any arrears to the Director
* Handle tenant maintenance requests, logging jobs and coordinating with contractors through our property management system
* Chase outstanding compliance certificates and support the Director in keeping the managed portfolio fully compliant
* Handle incoming sales enquiries and book viewing appointments
* Follow up with viewers to gather feedback for vendors
* Support the onboarding of new sales instructions, including sending terms of business and setting up Anti-Money Laundering (AML) checks in line with the Proceeds of Crime Act 2002 and Money Laundering Regulations 2017
* Assist with preparing property listings for the portals, including uploading photos, checking descriptions and confirming accuracy
* Chase solicitors and other parties on active sales where directed by the Director
Office Operations
* Answer incoming calls promptly and handle enquiries professionally
* Manage the shared email inbox, triaging and responding to correspondence in a timely manner
* Prepare and send standard letters, notices and correspondence to tenants, landlords, applicants and contractors
* Maintain accurate records across all systems, including our CRM, PayProp and shared files
* Be the point of contact for anyone who calls or visits the office when the Director is out
* Support the Director with day-to-day tasks as they arise
Future Scope
As hours expand, there is scope for this role to take on site-based responsibilities at a student lettings development in Sutton Bonington, Loughborough. This would include routine compliance checks and weekly site visits. This is not a requirement of the role at its current scale but represents a natural next step as the position grows.

* Pick up new systems and processes quickly

Some familiarity with residential property, whether as a tenant, landlord, or in a previous role, would be an advantage but is not required.
Progression
This role has been created at two days per week to reflect where the business is now. The expectation is that hours will increase as the portfolio grows and the workload expands. There is no fixed timeline for this, but the intention is clear: the right person will not stay at 16 hours indefinitely.
Beyond hours, there is genuine scope for the role to develop in seniority and responsibility. As the team grows, a senior coordination or operational management function becomes a natural next step. We are building something here and this person will be part of that from the beginning.
