Together, we’re building a better future. About the Role/team We’re looking for a friendly, organised and people-focused Lettings Assistant to join our Lettings and Allocations team. This is a hybrid role, with two days a week in our High Wycombe office and three days working from home. You’ll play a key role in helping people move into their new homes smoothly and confidently. From managing tenancy paperwork and utility updates to supporting mutual exchanges and key returns, you’ll be the calm, capable presence that keeps everything running behind the scenes and ensures our residents feel informed and supported every step of the way. Key Responsibilities: Support the lettings and allocations process, working closely with Housing, Voids, Property Services and Local Authorities Maintain accurate records and systems, including tenancy data and utility updates Respond to resident queries with empathy, clarity and professionalism Manage mutual exchanges, starter tenancies, and tenancy transfers Coordinate key returns and ensure health & safety questions are addressed Authorise HomeSwapper applicants and support residents in their move Monitor and correct system errors and data issues Raise purchase orders and variations, and liaise with suppliers and contractors Provide admin support for resident communications, including Summary of Findings Help coordinate repairs, appointments, and follow-on works Occasionally visit offices or properties (access to own vehicle required) Support Housing Assistants and Lettings Officers as needed What We’re Looking For Must haves: Excellent written and verbal communication skills Previous administrative experience Strong attention to detail and accuracy A warm, customer-first approach and service ethic Confidence in handling sensitive or complex situations with care Ability to manage competing priorities and stay calm under pressure Team player with a proactive, can-do attitude Strong IT skills (Word, Excel, Outlook, PowerPoint) Ability to analyse data and produce basic reports Comfortable working independently and taking initiative Nice to haves: Experience in a housing or property environment Familiarity with Awaab’s Law and HHSRS Understanding of safeguarding and working with vulnerable residents Experience handling maintenance calls or technician coordination For added brilliance: A passion for helping people feel safe, supported and at home A natural problem-solver who spots ways to improve how we work Benefits At SettleParadigm, we believe in creating an environment where our people feel valued, supported, and inspired to grow.
