Job summary
To work as part of the Clinical Services Team based at WBS HQ Talbot Green providing support for the collation of data and management of donor adverse events and low risk incidents. To record, validate, and analyse data relating to Clinical and Collections Services performance and quality function and information for clinical audit and quality assurance purposes to contribute to and improve donor care.
This is a Fixed term /Secondment for 6 months to cover the needs of the service
Main duties of the job
To efficiently and effectively assist in the coordination of information for the specialist multi-disciplinary team to ensure there is effective co-operation between departments across the blood donor pathway of those involved in the delivery of donor care.
Assist Collections and Clinical Department, specifically regarding audit information relating to donor care and Infection Prevention and Control including data collation and office administration.
The role requires the co-ordinator to engage with and work alongside all health care professionals and administrative staff throughout the donor journey

Reporting to the Clinical and Quality Governance Lead Nurse, assist with the co-ordination MDT meetings relating to quality and
governance issues. The role within the MDT meeting requires the
post holder to collect important and vital data relating to donor
management and quality and governance issues.
Input complex, accurate and timely information into databases and
spreadsheets.
Communicate effectively with CG and collections colleagues onsometimes complex issues regarding donation outcomes, donor adverse events, donor concerns and GMP / Clinical Incidents both verbally, in writing and electronically.
Responsible for communicating sometimes complex and sensitive information to lead clinicians, clinicians and other non-clinical professionals and external bodies regarding donor records, performance and governance data.
Sense check and identify discrepancies within the Clinical Services tracking spreadsheets and resolve any discrepancies with the assistance of the Clinical Quality & Governance Lead Nurse or other WBS personnel eg BI Team.
Show tact and diplomacy when requesting information verbally, electronically or in writing from other departments
Communicate effectively within the department contributing ideas for improvement and development.
Communicate effectively with clinical and collection teams regarding workload, progress, and difficulties or problems regarding the information within the database / spreadsheets / DATIX system
Attend inter-departmental meetings and other relevant meetings / training sessions / conferences in order to update knowledge and understanding of own role and understanding of work based practices and issues

Co-ordinate the appropriate recording and processing of complex and confidential donor information, ensuring that all data sets are input into the relevant database / spreadsheet,
Attend MDT and other WBS or Trust wide meetings relating to donor care and experience, quality or governance to ensure that a consistent and co-ordinated approach to quality and governance information is maintained
Keep abreast of current developments relating to blood services, within both Wales and the UK, e.g. Welsh Health Circulars and NHS publications.
Assist the Lead CG RN with administration of team training requirements and records, PADR, ESR, and pay cards.
Develop and maintain a wide knowledge of supportive clinical governance processes and procedures.
Possess in depth knowledge of CG agenda to support the wider CG and collection teams and answer queries that are sometimes non-routine.
Assist in the development, review and dissemination of SOPs and policies relevant to the role.
Follows all SOPs and policies for CG team and service.
Contributes to discussions regarding necessary changes and/or developments.
Take an active role in contributing to quality improvement/service initiatives and working with other staff to improve the service provided.
Complete relevant compliance audits as directed.
Assist wider CG team to plan and collate clinical audit as required.
Participate in internal audits, ensuring auditors requirements are met.
Ensure that incident reports, concerns and donor feedback received are actioned and entered into the appropriate database in a timely manner.
Assist in the provision of a robust, comprehensive and co-ordinated approach to the management of donor experience, feedback, concerns, DAERs and compliments across the Welsh Blood Service is provided in collaboration with colleagues.

Undertake investigations of low level Datix incidents determining root cause and write up the investigation into the incident module of Datix.
Assist the CG Lead RN compiling data and writing of monthly governance reports for organisational assurance.

Analyse DAER and DATIX reports to enable prioritisation of actions and referral to wider CG team.
