The Event Specialist will support and, in some instances, take full responsibility for a number of events. This will involve helping shape the event; and either supporting or being responsible for running aspects of the event:
1. Design and project planning - they will either support or be responsible for the detailed planning and design of their events. Encompassing resources, budget, logistics, use of event space, room allocation both events space rooms and accommodation etc. The job holder will also need to work closely with the team and stakeholders on the content to be delivered and handle suppliers, staffing, other requirements etc. This may require the job holder to set up and lead regular event logistics meetings and take part in event planning meetings with the appropriate key players and to produce a working document which will be used to run the event.
2. Event management –. Support or take responsibility for overseeing the running of the event, management of the suppliers and dealing with issues as they arise for both inperson and virtual events.
3. Potentially oversee event support and manage temporary event staff – provide direction and adherence to the event plan for other members of the department that are involved in supporting the event. Agree temporary staffing levels, allocate roles and responsibilities and manage on site staffing.
4. Negotiation and contracting – working with procurement and the wider team to shortlist possible event venues/hotels and agree contracts and identify other suppliers.
5. Supplier management – where required select suppliers to deliver services and supplies for the events. Work with procurement on the due diligence and contracts with suppliers, work with suppliers to deliver the best services and products for the events.
6. Production oversight – prepare or contribute to production briefs for events and ensure event is produced to highest possible quality (both in-person and virtual)
7. Communication and literature – support or drive work with content team, Comms BPs and other stakeholders to design and create any literature required for the event.
8. Budget management – some requirement to prepare budgets for events owned using experience to judge likely venue costs, speaker requirements, projected numbers etc. Once established, budgets to be reviewed regularly and any issues highlighted. Some responsibility for reconciling and finalising event costs for those fully owned.
9. Reporting – support provision of regular budget and event progress / evaluation for all managed projects.
10. One off projects - to assist with one off projects, as directed by the Events Operations Manager
The job holder is required to attend the SJP events they manage, including pre and post event stages. There may also be a requirement to attend other SJP Events as part of the on-site team.

Essential Criteria:
11. Experience delivering a high volume of high‑quality in‑person and virtual events end‑to‑end, often concurrently and to tight timeframes.
12. Strong project planning and organisational skills, with an ability to handle contending priorities and multiple event schedules simultaneously.
13. Demonstrable experience managing event budgets, including forecasting, reconciliation and financial reporting, with strong attention to accuracy and detail.
14. Experience negotiating and managing suppliers and venues, working collaboratively with Procurement, ensuring contractual, financial and operational details are meticulously managed.
15. Strong stakeholder management and interpersonal skills, with the ability to influence and build effective working relationships internally and externally, while maintaining excellent attention to detail across all communications and deliverables.
Desirable Criteria:
16. Understanding of SJP’s structure, strategy and decision-making protocols.
17. Knowledge of High Net Worth client segment and experience delivering events that meet their interests, expectations, and preferences. Experience contributing to risk registers and operating within regulated or governance-led environments.
18. Experience managing temporary staff or supporting wider delivery teams on-site.
19. Experience supporting recruitment or client-facing events.
Special Requirements:
The nature of this role means the job holder will need to work flexibly at times, especially in the lead up to and during events requiring overnight stays/extended working. Travel may be required. A full current drivers’ license and passport are required. Use of public transport may also be appropriate.
