Overview
We are seeking a detail-driven Finance Administrator with experience supporting fleet operations to join our team. This role plays a key part in ensuring accurate financial management across vehicle procurement, maintenance, compliance, and operational cost controls. The ideal candidate has strong financial acumen, excellent organisational skills, and a solid understanding of the fleet industry’s unique cost structures.
Key Responsibilities - Finance Administrator
Financial Administration & Reporting
Process and reconcile invoices related to vehicle leasing, fuel, maintenance, telematics, insurance, and repairs.
Maintain accurate financial records for all fleet transactions, including purchase orders, asset depreciation schedules, and vehicle disposal values.
Prepare monthly and quarterly financial reports, cost analyses, and variance reports specific to fleet expenditure.
Assist with budgeting and forecasting for fleet operations, including fuel budgets, maintenance cycles, and replacement planning.
Monitor outstanding payments, credit notes, and supplier statements, ensuring all discrepancies are resolved promptly.Fleet-Specific Cost Management - Finance Administrator
Track and analyse fuel spend, vehicle running costs, and total cost of ownership (TCO) across the fleet.
Support procurement activities by gathering quotes, comparing supplier pricing, and evaluating contract terms.
Maintain accurate records of vehicle taxes, fines, tolls, and regulatory fees.
Assist with insurance claims, renewals, and maintaining up-to-date certificates.Compliance & Documentation - Finance Administrator
Ensure all financial documentation complies with internal controls and industry standards.
Maintain accurate documentation and audit trails for vehicle acquisitions, disposals, leases, and rental agreements.
Work closely with fleet managers to ensure financial alignment with compliance requirements such as MOT schedules, servicing, and regulatory inspections.Collaboration & Support
Work with fleet and operations teams to provide financial insights and support decision-making.
Liaise with vendors, leasing companies, maintenance partners, and fuel card providers.
Support internal audits and year-end processes related to fleet assets and costs.Skills & Qualifications - Finance Administrator
Proven experience in finance administration, ideally within the fleet, automotive, logistics, or transport sector.
Strong numeracy and analytical skills with the ability to interpret financial and operational data.
Proficiency in accounting systems and fleet-related platforms (e.g., fuel card portals, telematics cost reports, leasing dashboards).
Excellent organisation, accuracy, and attention to detail.
Strong communication skills for working with internal teams and external suppliers.
Ability to manage multiple priorities and work to financial deadlines.Desirable - Finance Administrator
Experience with fleet asset accounting, depreciation, and TCO calculations.
Knowledge of vehicle leasing structures (contract hire, finance lease, operating lease).
Familiarity with compliance frameworks relevant to fleet operations.
