Job Summary
We are looking for an experienced, professional and friendly Front Desk Receptionist/Administrator to join our team. The ideal candidate will be the first point of contact for our students and their families, providing exceptional customer service while managing various administrative tasks. This role requires excellent organisational skills and the ability to remain calm and friendly while multitasking in a busy environment.
Duties
* Greet and welcome children, their parents and visitors with warmth and kindness as they come into the studios, ensuring a positive first impression
* Provide outstanding customer service, reflecting our dance school values and the inclusive environment we offer
* Create an upbeat and welcoming environment for all. Demonstrate flexibility and enthusiasm for working in a team.
* Take the register for dance classes as students come into the studios
* Answer phone calls with proper phone etiquette, managing and answering enquiries all in a timely manner.
* Manage queries, process payments, respond to emails
* Ensure high safety and safeguarding standards are adhered to in the reception area
* Onboard new students
* Run new and second-hand uniform shop: taking sales, making orders; handling cash and card payments; ensuring stock is delivered to child/parent etc
* Ensure the smooth running of all housekeeping tasks in relation to the building (e.g. monitor and order essential everyday supplies such as toilet paper, towels etc; liaise with cleaner; ensure tuck shop supplies are in place etc)
* Provide administrative support to Principal as required, including making payments as requested
* Provide administrative support for shows, performances, exams, competitions, holiday schemes and other events
* Attend staff supervision and staff training sessions as requested
* Use of Microsoft Office, Google Drive, Excel spreadsheets and GHL sales and marketing platform for various administrative tasks
* Maintain a tidy front desk area, ensuring the reception area and the reception waiting room are prepared for the beginning of each day
* Assist with marketing and sales promotions
Requirements
* Previous reception experience is essential, with a strong background in administrative roles preferred
* Experience and competency with Microsoft Office Suite (Word, Excel) and GHL sales & marketing platform as well as social media applications
* Strong organisational skills with the ability to prioritise tasks effectively
* Excellent phone etiquette and interpersonal skills to communicate clearly with children and adults
* Ability to multi-task in a busy environment
* Attention to detail in all aspects of work, particularly in data entry, finances and documentation
* Child orientated with a compassionate attitude towards children and young people and a commitment to giving them a great time at our dance studios
* High energy and confidence are essential
* Flexible, with a can-do attitude and a positive outlook, who must be calm under pressure
* Discretion and confidentiality are essential
* Able to prioritise, use own initiative whilst maintaining a high standard of work
* Support the dance school's safeguarding, health and safety policies and procedures

Additional information
We are looking for someone to have a set number of hours per week as a minimum during school terms with flexibility to work reduced hours during school holidays.
It is essential for the receptionist to be at work in the studio during the school term at the following times:
2pm – 8pm on Monday, Tuesday, Wednesday, and Thursday
8.30am – 4pm on Saturdays
You will be required to work some hours during school holidays, but these can be worked flexibly with the agreement of the Principal. We are happy to discuss the details of the hours with you in person.
If you are familiar with the world of community dance education, you will know that people mainly work on a self-employed basis. Our hourly rates reflect the fact we all pay our own tax and National Insurance. We may be able to be flexible around this and will discuss this with you further.
