Experienced PA required to provide part-time support to Mark Southwood (Founder and owner of Temple Group Management Ltd (TGM)). TGM is the parent Company which owns Linckia (a digital business) and provides support to the Southwood Foundation (a Registered Charity). Whilst it is now a micro business, the scope and nature of the work is very wide ranging and this is a demanding and challenging role but not without its fun/enjoyable moments. Special projects/assignments form part of the brief, one of these currently is a Nature Farm / land acquisition to be progressed over the next year.
The role requires experience at Board level and working with senior leaders/senior professionals with knowledge and experience of finance, HR, IT and familiarity with software packages including the Microsoft Office suite (essential), Xero, WordPress and HR Breath (desirable).
Description of role/tasks
TGM
Providing PA/administrative support to the Founder and Director, including preparing for and attending quarterly Board meetings, maintaining a Risk Register, following up on actions, and any other associated Board duties (as above).
Assisting with preparation of annual year-end report and submission to Companies House.
Drafting and updating relevant policies and ensuring they are being adhered to.
Linckia
Providing PA/Administrative support to the Founder, Co-Founder and Board.
Attending regular meetings and bi-monthly Board meetings, including drafting agendas, coordinating Board papers, maintaining a Risk Register, Minute taking and following up on actions.
Basic bookkeeping, including raising invoices and purchase orders, coordinating payroll.
Assisting with preparation of annual year-end report and submission to Companies House.
Drafting and updating relevant policies and ensuring they are being adhered to.
Southwood Foundation (TSF)
Providing PA/administrative support to the Founder, Operations Manager and Trustees, as necessary.
Secretary for Trustee Board meetings, Steering Group meetings and Strategy Sessions, including arranging meetings and coordinating travel and accommodation for in person meetings (usually one in person meeting per year, otherwise held via Teams); assisting with production of papers, collating papers, circulating to attendees; Minute/Note Taking and circulation of both in a timely manner, together with maintaining and updating action spreadsheet monthly.
Bookkeeping duties (experience of Xero an advantage but not essential):
Staff and Trustee expenses.
Sales and Purchase Ledger.
Managing TSFs banking arrangements.
Assisting with monthly payroll.
Assisting with preparation of annual year-end report and submission to Companies House and the Charity Commission.
Drafting and updating relevant policies and ensuring they are being adhered to.
Assisting the Head of Development and Operations in the organisation and promotion of TSF events and carrying out research and exploratory work as directed.
Assisting in drafting, proof reading material and amendments for the TSF website (experience of WordPress an advantage but not essential).
Assisting with insurance and membership renewals.
Assisting with Trustee recruitment and onboarding.
Ensuring Companies House and Charity Commission information is accurate and up to date.
Document management via either Sharepoint or OneDrive.
Other adhoc duties as deemed appropriate.
Barnards Management Retirement Benefits Scheme (Pension Fund)
Property management of 2 commercial properties in London.
Assisting with sourcing and onboarding new tenants, managing utilities, facilities and suppliers (tenants currently in situ in both properties).
Point of contact for current tenants.
Arranging utility and supplier payments in liaison with pension fund managers.
Assisting with quarterly VAT returns.
Flexibility to travel to London for site visits, as necessary.
Coordinating meetings with the SASS pension provider (AJ Bell) on a regular basis and taking minutes and following up on actions as necessary
Salary
Up to £50,000 depending on experience and skills.
Location and working arrangements
The role is remote but with in person meetings in the Haywards Heath area, so would be ideally suited to someone living in and around West Sussex.
The role is part-time (2.5-3 days p/w or 10-12 days p/m) and working days are likely to be Tuesday to Thursday (Monday - optional).

Familiarity with Xero, WordPress and HR Breath are advantageous but not essential
Timeframes
Interviews to commence from 22nd October with the successful candidate in post by Monday 24th November 2025 at the latest.
