Upsilon London seeks a full-time Junior Gallery Assistant to join our team.
The role involves a cross-functional range of responsibilities related to the management of the production of exhibitions and publications and various aspects related to the artistic team such as research, logistics, promotion, sales, client services, and administration. The Junior Gallery Assistant is a supporting member of assigned working groups and reports to the respective in charge.
This role also involves being part of a team of local and global peers and provides organisational and operational support to the London gallery on its programming, events and daily operations. The Junior Gallery Assistant team is integral to maintaining a warm, welcoming atmosphere in the gallery through providing general assistance and information on the gallery's program and artists to visitors.
The candidate will be a strong team player, a self-starter, and highly organised. Attention to detail, and ability to exercise sound judgment, problem-solve, prioritise and meet tight deadlines are vital to the role; as are excellent communication and writing skills, discretion, and ability to work collaboratively and independently.
This is a full-time hourly position. The regular working hours are Tuesday to Saturday, 10:00 AM to 6:00 PM. The position requires flexibility for additional hours of work based on the needs of the gallery such as events.
This in-person position is based in Upsilon's Mayfair gallery but may occasionally require some travel and work from other locations.
Upon successful completion of probation, the candidate may be considered for progression to Gallery Assistant, depending on performance.
MAIN RESPONSIBILITIES:
Front of House
* Open and close the gallery and manage front desk operations
* Welcome visitors, provide basic information on exhibitions and artists, and handle initial sales enquiries
* Maintain a daily visitor count and record key visitors and clients, sharing updates with senior staff
* Answer phones, manage general mailbox and direct enquiries to the appropriate team members
* Sell books, maintain stock records and support monthly sales reporting
Operations and Administration
* Support the smooth running of daily gallery operations and schedules
* Assist with pre-exhibition preparation including updating online platforms (Artlogic, Artnet, Artsy), updating checklists, preparing materials and supporting installation planning
* Assist with post-exhibition procedures including inventory updates, condition checks coordination, documentation filing and artwork returns
* Raise and file incoming and outgoing consignments and loan agreements under supervision
* Assist with maintaining stock lists and support artwork logistics, including liaising with shippers and tracking deliveries
* Assist in coordinating special events for art fairs and gallery exhibitions, including openings, artist talks and tours
Sales Support
* Assist with the preparation of sales, exhibition and art fair materials for internal use and for distribution to collectors
* Conduct research on artists and artworks, updating the gallery's archival records to support a strong and informed understanding of the programme and its art historical context
REQUIREMENTS:
* 1-2 internships in a similar function
* Degree in Art History or a related field
* Strong proficiency in Mac OS, Adobe (Acrobat, InDesign, Photoshop), Microsoft Office (Word, Excel, PowerPoint)
* Sense of customer service
* Excellent written and verbal communication
* Additional foreign languages preferred
* Knowledge of SketchUp preferred
