Job Description
The Project Administrator will provide efficient and effective admin support to the Angola projects, working alongside the Project Manager, Project Engineers and project teams to ensure that projects and objectives are delivered on time, within scope and to the agreed budget.
Day to day tasks are as follows (but not limited to):
1. Internal Communication: Liaising with the project teams to provide clerical and administrative support.
2. Stakeholder Communication: Liaising with suppliers, contractors, and freight forwarders.
3. Updating and maintaining comprehensive project files & documentation (e.g. Control files, RFQ files,shipping documentation, procurement documentation).
4. Record Keeping: Maintain accurate records of quotations, purchase orders, invoices, shipments and supplier information while also updating the project control files.
5. Researching new suppliers for the Request for Quotation (RFQ) or Invitation to Bid (IFB) process, whilst updating and maintaining the supplier database.
6. RFQ administration: drafting RFQs to suppliers, gathering quotations, and tracking the RFQ process from sending to receiving responses.

8. Invoice Processing: Receiving, verifying, and recording invoices from suppliers, ensuring they are accurate and match purchase orders prior to the approval process.
