Role Purpose

Manage end-to-end group and conference requirements for clients from group bedrooms, conference spaces and group travel, develop tailored proposals which can include coordinating flights, rail, and ensure seamless and timely execution. Act as the main client liaison throughout the project lifecycle, delivering exceptional service and clear communication from brief to debrief.

Managing all group travel requirements for clients whether this is groups travelling together or large projects with individual travel along with all invoicing requirements.

Key Tasks

* Deliver an outstanding customer journey on every contact ensuring the highest level of customer service is always offered.
* Plan and co-ordinate any conference, group bedrooms or group travel enquiries for the clients. Effectively manage all arrangements involved to ensure seamless attendee movement and punctuality.
* Process all group flight reservations, amendments and cancellations as requested by the client in a timely and accurate manner and in accordance with the company standards and those laid out in the entire ISO procedures manuals.
* Manage, co-ordinate and ticket all group flights, along with dealing with changes, refunds and cancellations.
* Utilise our systems including Galileo and MeetingsPro to confirm and process bookings.
* Offer a variety of flight options, explaining fare rules Booking flights for groups of passengers and groups of individual passengers.
* Negotiate with suppliers to obtain competitive rates and quality services.Engage in supplier negotiations to secure favourable terms, ensuring the highest quality of service within budgetary constraints, while fostering strong supplier relationships.
* Maintain accurate records of all travel arrangements and associated expenditure. Keep comprehensive documentation of travel bookings, changes, and costs, ensuring transparency, accountability, and ease of reference for post-event analysis and financial reconciliation.
* Plan and coordinate travel logistics for events, including flights and rail transport. Efficiently manage all travel arrangements required for events, encompassing flight bookings, rail travel, and other transport logistics to ensure seamless attendee movement and punctuality.

Complaince and Governace

* Adhere to company policies and procedures.
* Ensure that departmental processes, procedures and standards are adhered to.
* Undertake all training as directed, including mandatory training and staff inductions.
* Safeguard clients' and colleagues' personal information. This includes:
* Using IT devices, sftware and systems only as instructed
* Being familiar, and cmplying with, data security policies made available to you
* Knowing how to recognise, and report, security/data incidents
* Adhere to other compliance areas including, but not limited to, ISO, PCI DSS, GDPR, Human Rights, Health and Safety and Anti-Bribery and Corruption.
* Support Environmental, Social and Governance (ESG) principles in the workplace, whether it's choosing sustainable suppliers, minimizing resource consumption, or promoting diversity and inclusion

Skills and Experience

* Experience within the events, conference or travel industry, is preferred.
* GDS experience (GAL & Evolvi preferred).
* Experience dealing with high volumes of email and call requests, processing complex travel bookings
* Demonstrated ability to consistently deliver a superior customer experience.
* Ticketing experience preferred.
* Excellent Worldwide travel knowledge.
