Brownbill Case Management exists to deliver an outstanding case management service to children, young people and adults who have enduring and complex health conditions and injuries. We have a great opportunity for an experienced Administrator (Including Finance Functions) to join Brownbill Case Management based in our offices in Thame, Oxfordshire. As part of the Active Care Group (ACG) Case Management Division, Brownbill Case Management Services (BAL) provides a specialist case management service primarily for individuals who have been affected by brain injury, spinal cord injury, Cerebral Palsy, complex orthopaedic injuries and amputation. We work across the Midlands, London and Home Counties, South East and South West regions. Job Purpose Reporting to the Office Manager, the role has responsibility of supporting the Operations Administrator and Office Manager to ensure that all aspects of the operational and some financial aspects of the business run smoothly in support of the office team and our remote working case managers. What You'll Be Working Maximum of 35 hours per week over 5 days, office based. Salary: £25,000.00 to £27,000.00 According to Experience Location: Office in Thame, Oxfordshire Role: Administrator (Including Finance Functions) Key Responsibilities What you'll be doing: Providing support with the finance functions of the business, to include monthly invoicing, credit control, payment card reconciliations. Supporting the Operations Administrator each month with checking support worker time sheets and assisting with payroll queries during the month. Support Office Manager with Health and Safety checks. Providing records as required and collating records for cases transferring from other providers. Organising filing systems and updating databases. Managing archives. Managing client bank accounts, including making payments, paying support worker wages and reconciliations. Support to case managers working remotely as required, including updating records and template documents, uploading emails/records to bespoke system. Ordering goods on behalf of clients. Formatting and checking case management reports in accordance with exacting standards, including checking calculations. What You'll Have Person Specification You must be confident to manage your own workload with minimal support. Have the ability to multitask, prioritise and problem solve. Have the ability to use own initiative and work independently, be adaptable and have a thinking outside the box approach. Excellent attention to detail is a prerequisite of this role in particular when formatting and issuing reports, correspondence, meeting minutes and documents for case managers, which need to be prepared to our exacting standards. You will have an excellent telephone manner and client service skills; you will be handling calls from clients, their families, solicitors/deputies and support teams, and must have the ability to handle calls from clients with sensitivity, diplomacy and understanding. Excellent IT skills and a wide knowledge of all MS Office packages is essential, in particular Word, Excel, Outlook and Teams, as well as using our bespoke case management recording system (training will be given). Excellent data entry skills and confidence using and creating spreadsheets and databases, requiring numeracy, accuracy and attention to detail.
