Job title: Assurance Assistant | Grade: 1 | Employment type: permanent | Hours: part time 17.5 hours per week | Starting salary: £12, per year (pro rata of a full time equivalent: £25,) | Directorate: Operations | Department: Civil Finance – Assurance | Location: Edinburgh | Closing date: 12 April (23:55)

We’re looking for a highly organised and reliable assistant to provide essential administrative support to our Assurance team. In this part-time position you’ll play a key role in ensuring the smooth day-to-day running of the department, maintaining accurate records, coordinating workloads, and acting as a central point of contact. Working closely with a small, supportive team, you’ll help ensure work is delivered efficiently and to a high standard.

Applicants need to be studying the Diploma in Professional Legal Practice. If you’re looking for a part-time role where you can build your experience in a professional environment and contribute to an important function within the organisation, we’d love to hear from you.

Key responsibilities include:

1. Maintaining accurate electronic files, records and databases
2. Preparing and managing correspondence, including sorting and assigning incoming mail
3. Managing team task queues and distributing casework across the Assurance team
4. Acting as the first point of contact, handling calls and enquiries
5. Inputting and managing data, including maintaining Excel spreadsheets and running reports
6. Supporting diary management and scheduling within the team
7. Scanning and organising documents into case files
8. Providing general administrative support to ensure the smooth running of the department.

To succeed in this role, you will need:

9. Good communication skills and a professional approach
10. Strong IT skills, including Microsoft Office and keyboard proficiency
11. Experience or understanding of filing systems and diary management
12. Good organisational skills, with the ability to manage and prioritise tasks
13. Attention to detail and a reliable, methodical approach to work
14. The ability to work as part of a team and follow processes effectively
15. To be currently studying (or due to start) the Diploma in Professional Legal Practice.
