A new opportunity has arisen to join the Breast service at Ashford Hospital that requires a high level of organisational and communication skills and collaboration with a wide range of health care professionals and administrators.
The successful candidate will be responsible for providing a comprehensive management of Breast Cancer patients from referral to completion of treatment to ensure patients are booked in line with national cancer targets, and in line with the Trust's access and cancer policies. This role will be an essential point of contact within the department for all members of the multidisciplinary team as well as patients and their relatives.
The ideal candidate will understand the NHS Cancer guidelines and be able to exercise initiative and escalate any concerns in a timely manner. Computer skills are essential and training will be given on hospital administration systems.
Responsibilities
* Play a vital role in the management and coordination of Cancer Wait Time (CWT) targets.
* Monitor patient pathways from referral through to treatment planning and subsequent treatment, highlighting any potential delays in the pathway.
* Liaise directly with patients to book, cancel, and rebook any outpatient appointments.
* Act as a local expert on the Cancer Pathway, tracking mechanisms, and service improvements that will improve patient experience and facilitate the provision of accessible and high quality care.
* Work as a member of the Breast Clinical Office Administrative team supporting with letters, telephone calls and emails as required.
* Work closely with the Service Manager, Cancer Nurse Specialists, Breast clinicians, and administrative teams in the Breast Service, and other relevant services across the Trust to ensure patients are actively managed through the cancer pathway.
* Ensure that appropriate requests for investigations are monitored following the clinicians' instructions; liaise with relevant services if diagnostic delays occur.
* Liaise with members of individual specialty management teams and the Trust to coordinate all elements of patient pathways, highlighting patient target dates to ensure investigations are carried out and results received in a timely manner.
* Ensure all information relating to the patient pathway clearly identifies all relevant target dates to aid other users.
* Keep the Cancer Patient Tracking List (PTL) up to date with the next step in the patient pathway.
* Attend Cancer PTL meetings to provide updates to the Cancer Services team on patient pathway progression.
* Liaise with Cancer Services MDT coordinators throughout the patient pathway to ensure timely and up-to-date information.
* Support the division in the implementation of robust follow‑up tracking, ensuring that any subsequent cancer treatment is provided within national targets.
* Maintain up-to-date knowledge of all standards, targets and processes relating to the patient pathway and be a point of reference for administrative teams across the Trust.
* Support audits by collecting accurate data to support continual development of cancer pathways and report any discrepancies to clinical offices and teams.
* Provide supportive letters, answer telephone calls, and respond to emails as required.
Person Specification
Qualifications
* Extensive specific administrative medical specialty knowledge gained by education or relevant experience.
* GCSE in English and Maths, NVQ or equivalent.
Experience
* Broad range of administrative experience.
* Full range of administrative experience within the NHS.
* Experienced knowledge of waiting list management & patient pathways.
* Experience of using NHS information & data systems.
* Experience of working in a busy office and dealing with conflicting demands.
Knowledge
* Trust vision, values, strategic objectives and key work programmes.
* NHS Constitution.
* Understanding of patient pathways.
* Understanding of medical terminology.
* Knowledge of cancer standards and national guidance.
Skills
* Ability to understand an individual's communication, physical & emotional needs; recognise their needs and preferences.

* Good analytical skills; the ability to learn quickly, synthesise diverse information, and make decisions from a range of options.
* Strong communication skills to establish credibility with all staff with whom the post-holder is likely to work; the ability to communicate information to audiences with differing levels of understanding.
* Ability to work under pressure to meet deadlines and prioritise workloads.
