We are seeking a highly organised and customer-focused Accommodation Administrator to support the delivery of an excellent residential experience for all learners, delegates, and guests.
Working as part of a collaborative team, you will play a key role in coordinating accommodation services end-to-end - from pre-arrival bookings to on-site support and post-stay administration. You will ensure that all customers receive a seamless, welcoming, and professional service throughout their stay.
Key Responsibilities
Accommodation & Booking Management
6. Manage accommodation bookings, allocations, and room scheduling
7. Ensure accurate records are maintained within booking systems
8. Coordinate room availability in line with course schedules and operational needs
9. Liaise with internal teams to ensure efficient room utilisation
Customer Experience
10. Act as a first point of contact for accommodation-related enquiries
11. Provide clear pre-arrival information including check-in details and site guidance
12. Welcome and support guests on arrival and throughout their stay
13. Respond promptly to queries and resolve issues in a professional manner
Operations & Coordination
14. Liaise with housekeeping, catering, and facilities teams to ensure high standards are maintained
15. Monitor room readiness, cleanliness, and maintenance issues
16. Support the resolution of any accommodation-related concerns or complaints
Administration & Compliance
17. Maintain accurate records in line with GDPR and organisational policies
18. Produce reports on occupancy, usage, and customer feedback
19. Support invoicing or financial processes related to accommodation services
20. Ensure all safeguarding and welfare considerations are upheld.

You will be a highly organised individual with a strong customer focus and the ability to manage multiple priorities effectively.
Essential Skills & Experience
21. Experience in an administrative or accommodation/hospitality role
22. Excellent organisational skills with strong attention to detail
23. Strong communication skills (written and verbal)
24. Ability to build effective working relationships
25. Confident in using MS Office and booking/management systems
26. Ability to work under pressure and adapt to changing priorities
Desirable
27. Experience working in an educational, training, or residential environment
28. Knowledge of booking or accommodation management systems
29. Understanding of safeguarding and welfare responsibilities
