Everest Group is expanding its portfolio of high-impact, executive-level conferences and is seeking a Event Coordinator to support the delivery and execution of sponsorship programs across its Events business. This role is critical to ensuring that sponsor commitments are executed with precision, consistency, and a high standard of quality. The Event Coordinator will work closely with Event Operations, Sales, Marketing, and external sponsors to manage deliverables, timelines, and on-site execution, serving as a central point of coordination for sponsor fulfillment.

Key Responsibilities
Sponsorship Operations & Fulfillment
* Own day-to-day coordination of sponsor deliverables, including logos, collateral, signage, digital assets, program copy, AV requirements, and on-site activations
* Track contractual sponsorship benefits and deadlines to ensure accurate, timely fulfillment across all events
* Serve as a primary operational contact for sponsors, ensuring clear communication and proactive issue resolution
* Maintain detailed sponsorship matrices, activation plans, and production trackers to support flawless execution
Cross-Functional Coordination
* Partner closely with Sales to translate sold sponsorship packages into executable operational plans
* Collaborate with Event Operations and Marketing to align sponsor activations with event agendas, floor plans, and attendee experience
* Coordinate with vendors (AV, print, décor, exhibit services) to ensure sponsor-related requirements are delivered to specification
Event Execution & On-Site Support
* Support development of event documentation including run-of-show schedules, signage lists, staffing plans, and floorplans
* Provide on-site event support, including sponsor load-in, booth checks, wayfinding, registration assistance, and troubleshooting
* Ensure sponsor experiences on site reflect Everest Group’s brand standards and contractual commitments
Data, Reporting & Process Improvement
* Maintain accurate sponsorship records, including fulfillment status, revenue tracking inputs, and post-event metrics
* Capture post-event sponsor feedback and partner with leadership to identify improvement opportunities
* Contribute to the development of scalable, repeatable sponsorship operations processes as the events portfolio grows
Required Aptitude/Skills
* Experience in event coordination, sponsorship operations, account coordination, hospitality, or related roles
* Strong project management and organizational skills, with the ability to manage multiple workstreams simultaneously
* Clear, professional written and verbal communication skills, with comfort working with external partners and senior business stakeholders
* High attention to detail paired with the ability to execute quickly under tight deadlines
* Problem-solving mindset and willingness to step in wherever needed on a lean, high-performing team
* Familiarity with B2B conferences, sponsorship programs, and/or professional events
* Proficiency with common productivity and collaboration tools such as spreadsheets, project trackers, CRM, or event platforms

Remote Work and Travel
The candidate must be comfortable with a combination of remote work and travel, with the flexibility to work from home when not traveling and travel as needed to client sites, conferences, training sessions or company events, both domestically and internationally.
