As we continue to grow our operations, we are looking for a motivated and detail-oriented Administrative Officer to join our team and keep our day-to-day operations running smoothly. About the Role The Administrative Officer is the operational backbone of OnRoute Transport Group. You will sit at the heart of the business, connecting drivers, customers, and management through clear communication, careful record-keeping, and proactive problem-solving. Your work will directly support our ability to deliver safe, compliant, and reliable transport services every single day. No two days will be the same, and your contribution will be visible and valued. Key Responsibilities Operations & Record Management • Manage, update, and maintain all company operational spreadsheets and registers including the Driver Register, Vehicle Fleet Register, Booking Log, Walkaround Check Log, Staff Register, and Incident & Criminality Log • Monitor expiry dates for driver licences, DBS certificates, vehicle documents, and insurance, and send advance alerts to drivers and the Operations Manager in accordance with company policy (minimum six weeks' notice) • Ensure all records are accurate, up to date, and compliant with company SOPs, council licensing requirements, and regulatory standards • File and organise all documents — physical and electronic — in a structured, retrievable format • Support the preparation and submission of compliance documentation required by Thurrock Borough Council or other relevant authorities • Assist in preparing route schedules, driver allocation sheets, and daily operational plans Driver Communication & Support • Act as the primary point of contact for drivers on day-to-day administrative matters • Contact drivers to confirm shift allocations, route changes, document renewals, and any operational updates • Follow up with drivers on outstanding compliance actions such as DBS renewals, medical checks, or licence submissions • Log and escalate any driver-reported incidents or vehicle defects to the Operations Manager promptly • Assist with driver onboarding administration, including coordinating DBS applications, council licence submissions, and induction documentation Customer Relations • Answer incoming telephone and email enquiries from parents, carers, schools, and local authority partners professionally and promptly • Act as the first point of contact between OnRoute and its customers, providing accurate, helpful information about transport services, routes, and scheduling • Handle customer queries, complaints, and feedback with care and professionalism, escalating where necessary to the Operations Manager • Log all customer contact accurately within company systems and ensure follow-up actions are completed • Liaise with school administrators and local authority coordinators to confirm transport arrangements and communicate any changes General Administration • Manage incoming and outgoing correspondence — emails, letters, and phone calls — on behalf of the business • Support the preparation of reports and summaries for management review • Order and manage office supplies and administrative resources • Assist with invoicing, purchase order tracking, and supplier correspondence as required • Undertake any other administrative duties as reasonably required by the Operations Manager or Directors What We Are Looking For • Previous experience in an administrative, office coordination, or customer service role • Excellent attention to detail — you notice things others miss and take pride in accuracy • Strong organisational skills with the ability to manage multiple tasks and priorities simultaneously • Proficiency in Microsoft Excel and Microsoft Office (Word, Outlook) — experience managing spreadsheets is essential • A confident, professional, and friendly telephone manner • Good written communication skills — able to draft clear, professional emails and correspondence • Discreet and trustworthy — you will handle sensitive personal data about drivers and passengers • A proactive, can-do attitude — you take ownership of your responsibilities and follow through • Understanding of, or willingness to learn, licensing and compliance requirements in the transport sector • Right to work in the United Kingdom Benefits • Competitive salary (discussed at interview) • Permanent, stable employment with a growing transport company • Generous annual leave entitlement • Pension scheme – auto-enrolment to help you plan for the future • Monthly pay • Hundreds of discounts from selected retailers across the country through our employee benefits programme • Supportive and collaborative working environment • Opportunities for development as the business grows
