Operations Administrator - Ardbarron Trust Limited Attractive Salary & Benefits 36.5 Hour week Newtownabbey Who are we? Ardbarron Trust Limited is a charity registered in Northern Ireland (NIC 101111). The Trust is established for such purposes as are recognised as charitable according to the laws of England, Wales and Northern Ireland, including inter alia, the promotion of the Christian Gospel in Word and Deed to fulfil the commandments of the Lord Jesus Christ as recorded in Matthew 28:19- 20 and Matthew 22:37-40, and the relief of distress and poverty in accordance with the Trusts Declaration of Faith. The Trust provides financial support to charitable organisations by means of grants/donations. The Trust has a wide range of beneficiaries nationally and internationally. A look into the role The main purpose of the Operations Administrator role is to support the Ardbarron Trust Board and Executive Team in pursuing the objectives of the Trust, in accordance with the Memorandum & Articles, and to fulfil all the legal obligations of Ardbarron Trust as a registered charity. This role will be well suited to a candidate who shares a commitment to the vision and mission of the Trust and has an interest in the national & international Christian charitable/philanthropic sector. Ardbarron Trusts main purpose is to promote the Christian Faith, and activities are aligned to the Trusts Statement of Faith. This is a detail-oriented and process-driven role appropriate for someone who enjoys structured systems, accuracy, and maintaining high administrative standards within a purpose-driven environment. Working as Operations Administrator you will: Undertake daily administration including correspondence, population & updating of the CRM system to ensure that accurate and meaningful information is readily available. Support the funding Application and Annual Review process: Engage with beneficiaries to improve understanding of activities and evaluate impact. Gather information to inform application outcomes. Monitor progress and delivery/Impact of projects/Ministries/Charities supported by the Trust. Assist in the management of the Distribution process. Respond to enquiries and applications, approvals & declines. After approval by the Board, issue Grants/Payments. Ensure the CRM database is kept up to date with correspondence, applications, grants approved, acknowledgments and Grant Impact Reports. Adhere to the Trusts Regulatory and Audit obligations. Maintain data safely and securely. Ensure compliance with all Charity Commission NI (CCNI) obligations, including annual reporting. Respond to any requests from CCNI. Ensure compliance with all Company Law (Annual Accounts & Companies House filing) and Charity Law. Undertake Annual Policy Reviews. Support with Portfolio Management and Reporting to the Board against agreed metrics. Skills for Success Joining us as Operational Administrator the essential criteria you will need: Experience of office administration/operations. A proficient level of competence in using IT packages such as Microsoft Office/Word/PowerPoint, Data Management and CRM Systems. Ability to prioritise your own work, meet deadlines and work unsupervised. Excellent communication and presentation skills, both verbal and written. It is desirable if you have: Knowledge of national & international Christian charitable/philanthropic sector. An awareness of the issues faced by organisations (including Christian Charities) in the charitable sector in Northern Ireland.
