An exciting opportunity for a band 3 admin assistant to join the same day emergency care team within surgery at New Cross Hospital. The post is essential to SDEC in ensuring all of the administrative tasks for the area are carried out.

Job Summary
* To assist with the co‑ordination and management of an efficient and effective Surgical SDEC Service, in accordance with Trust policies and procedures.
* To support, in the absence of the Administration Team Leader, and ensure the continuity of the service, reporting any escalations to the Administration Manager.
* To work as a key member of the team within the Surgical SDEC, providing operational & supervisory support.
* To work under supervision and manage own workload and that of others.
* To ensure patient confidentiality is maintained at all times.
* To assist with day‑to‑day operational support of the defined teams within the Surgical SDEC, also covering at short notice with the teams if and when needed to provide continuity within the Directorate.
* To assist the Administration Team Leader in completing the staff E‑roster, ensuring compliance & time deadlines are met prior to final approval of Admin shifts.
* To co‑ordinate the rotation of clerical staff throughout the departments using allocation spreadsheets, ensuring an efficient skill mix of the multiple tasks to be carried out, including re‑organisation of work to meet changing priorities.
* To communicate effectively and with colleagues at all levels within the Trust and outside agencies, using tact and diplomacy at all times.
* To update and maintain information stored on departmental computer systems.
* To maintain and be responsible for daily checks on quality and scrolling of patients’ notes, reporting any issues to the Administration Team Leader.
* To assist with ensuring all Admin Staff are trained on systems equipped to undertake their roles, identifying any issues to the Administration Team Leader for Surgical SDEC.
* To assist the Administration Team Leader to ensure systems, policies and procedures are in place to monitor and evaluate quality standards relative to the department.
* To assist the Administration Team Leader with providing relevant information for staff meetings and assist in maintaining effective communication with all staff within the departments.
* To ensure that good customer care is provided at all times.
* To be aware of the responsibility of all employees to maintain a safe and healthy environment for patients, visitors and staff, and attend all relevant health and safety training.
* To ensure that all duties are carried out to the highest possible standard.
* To be familiar with and comply with all directorate and trust policies, procedures and practices, including the Major Incident Procedure and Decontamination Procedure.
* To enhance the patients’ experience.
* To ensure effective contribution to the delivery of the organisation’s objectives.
* To order and ensure the safe storage of stationery and supplies for the department, making sure adequate stock levels are maintained. Complete patient Merge list from Data Quality.
