AJ Chambers are working closely with a specialist Family Law Firm who are looking for an experienced Legal Secretary to join the thriving team to provide comprehensive administrative and secretarial support to solicitors within the Family Law department. The Family Legal Secretary ensures efficient file management, accurate document preparation, and professional communication with clients, courts, and external parties.
Key Responsibilities
Administrative Support
* Provide full secretarial support to Family Law solicitors and partners.
* Manage diaries, schedule appointments, and coordinate meetings.
* Organise and maintain legal files (both electronic and paper).
* Handle incoming and outgoing correspondence including emails, letters, and telephone calls.
Legal Documentation
* Prepare, format, and amend legal documents such as:
* Divorce petitions
* Financial remedy applications
* Child arrangements applications
* Court forms and bundles
* Draft routine correspondence under supervision.
* Transcribe digital dictation and audio typing accurately.
Client Communication
* Act as a first point of contact for clients in a professional and confidential manner.
* Liaise with courts, barristers, and other law firms.
* Provide updates to clients where appropriate.
Case Management
* Assist with file opening, conflict checks, and client onboarding.
* Maintain case management systems and update client records.
* Prepare court bundles and documentation for hearings.
Compliance and Confidentiality
* Ensure all work complies with firm procedures and regulatory requirements.
* Maintain strict confidentiality regarding client matters.
* Support adherence to data protection and file management policies.
Key Skills and Experience
* Previous experience as a Legal Secretary, preferably in Family Law.
* Excellent audio typing and document formatting skills.
* Strong organisational and time management skills.
* High attention to detail and accuracy.
* Proficiency in Microsoft Office (Word, Outlook, Excel).
* Knowledge of family court procedures and documentation.
* Experience preparing court bundles.
* Familiarity with digital dictation systems.
