Communicate with employees and managers on sometimes emotive matters including right to work checks and sponsorship requests, providing advice and support in line with Trust policy and UKVI regulations. Develop and maintain an excellent understanding of right to work processes and procedures both legislative and locally at MKUH. Proactively conduct and record right to work checks in accordance with Home Office and NHS guidelines and Trust policy. Where an employee is unable to evidence their right to work in the UK, escalate this to the Employee Relations team in a timely manner for management and resolution Accurately record and maintain confidential information relating to right to work in the UK for employees on ESR, including visa status, share codes, PVNs and right to work expiry dates Support the administration of Skilled Worker or other visa sponsorships, including issuing Certificates of Sponsorship (CoS) for existing employees.
Liaise with employees requiring extension to visas requesting all relevant right to work evidence and processing this through the UKVI software system in a timely manner. Support with the administration of Certificates of Sponsorship (Tier 2) within the Trust carrying out positive verification checks where required and ensure timely renewals. Coordinate and run regular (monthly) reports from ESR to support the undertaking of timely and effective right to work checks for all visa types. Use the information to plan right to work compliance checks, ensuring employees are notified of impending expiries well in advance and Certificate of Sponsorships are issued in a timely manner.
Record all right to work expires on Case Tracker, utilising the system to monitor progress with reverification of right to work Ensure timely and accurate reporting to the Home Office, via the Sponsorship Management System in line with sponsor licence duties, including changes in employment status, absences, and other reportable events. Record accurate and up to date right to work information, develop improvements and escalate any issues to the Workforce Information Manager, making recommendations to implement changes as appropriate. Provide guidance and information to managers of employees working on a visa, reminding them of their responsibilities. Provide regular reports to Assistant Director of HR to audit compliance of timely and accurate right to work data.
Assist with internal audits and external inspections related to right to work and visa reporting compliance. Provide other administrative support as required. Keep up to date with changes in immigration law, UKVI regulations and NHS policy, sharing updates with the wider HR team. Assist the Workforce team by accurately inputting data and generating HR reports as directed.
