Office Front of House Manager / Reception Lead - Private Clinic - Harley Street, W1 - £34k-£40k (DoE)


A fantastic opportunity has become available for a professional, dynamic and proactive Office Front of House Manager / Reception Lead to join a successful private clinic in Harley Street, London.


A friendly, forward-thinking and collaborative company, our client is looking for a warm and empathetic Reception Lead to support practitioners in the practice with the day-to-day management of Reception and soft facilities.

Ideal candidates will have Front of House / Reception / Office Management experience in a private medical, hospitality or professional services environment and will be emotionally intelligent, highly organised and able to make crucial decisions in the best interest of practitioners and clients at any given moment.


The role:

This is an office-based Reception lead / Front of House management role working 8.00am-4.30pm in Central London; with an annual salary of c£34k-£40k (dependent on experience), 24 days annual leave (plus BH) and private medical insurance.



Responsibilities as the Front of House Manager / Reception Lead will include:

* Management of the Front of House areas
* Meeting and greeting all clients and providing an exceptional level of customer service at all times
* Acting as the first point of contact for any clinic or client queries or issues
* Coordinating daily schedules and liaising with clinicians
* Supporting billing processes and taking payments
* Managing active clinics
* Email management
* Extensive telephone management - liaising with new and existing clients
* Proofreading and editing clinical letters and reports
* Drafting correspondence
* Managing repeat prescription requests
* Managing and uploading clinical documentation to databases
* Conducting regular office checks for safety, cleanliness and functionality
* Supporting fire safety processes and procedures
* Logging and escalating any building or maintenance issues and liaising with contractors when required
* Supporting the Practice Manager and Administration Manager when needed

What we’re looking for:

* Previous senior reception / front of house experience, ideally within private medical, high-end hospitality or professional services environments
* Fluent English language skills
* Clear and professional communication skills
* Ability to provide 5* customer service at all times, excellent telephone manner
* Highly organised and proactive nature
* Experience managing office / reception activities including liaising with suppliers / contractors and dealing with facilities issues
* Dynamic, proactive, focused and hard working
* Warm and empathetic with strong emotional intelligence
* Ability to multitask
* Attention to detail at the highest level
* IT literate/tech savvy with the ability to learn new systems quickly and efficiently
* Experience with G-Suite (Google Docs & Sheets, Gmail, G-Calendar, GoogleDrive etc) is highly advantageous
* Ability to be discreet and deal with confidential and sensitive information
* Mature manner with the ability to deal with confidential and possibly conflicting or challenging situations
