This is a great opportunity to join the Discharge Team here at Worthing. You would provide administrative support and ensure that the office runs smoothly at all times. There will be a particular focus on the process for transferring all pathway patients to facilitate discharge.
Good communication skills are required as you would be the first point of contact for all telephone enquiries, face-to-face and via email with ward staff referring patients, other outside organisations, patients, relatives and the general public.
You will be responsible for the health & safety of the office environment and will provide the complete range of administrative tasks.
Main duties of the job
1. Updating the discharge tracker daily.
2. Monitor joint email boxes and action emails as appropriate.
3. Archive emails in order to ensure storage of joint mail boxes is continually kept below 90%.
4. Act as Fire Warden in the team (will need to attend further training for this)
·Management of own workload and prioritising of tasks to ensure that deadlines are met.
·Organise meetings as required, negotiating with all possible attendees including patients, families and external agencies as well as internal.
·Responsibility for maintaining supplies of stationary, leaflets for the team, wards/departments, including logs of provision.
·Organise filing of paper and digital resources within the department.
·Input data into audits including Fast track
·To maintain Healthroster on a daily basis ensuring accurate timings are captured.
·Use of Word documents to produce accurate minutes of meetings, letters to patients/families and records of discharge co-ordinator input.
·Produce accurate and consistent documentation of meetings.
·Formatting of documents to produce user-friendly templates
·Creation of leaflets, posters and flyers to disseminate information.
·Use of Excel spreadsheets to record delayed transfer of care information.
·Collation of spreadsheet information to produce weekly reports on delayed discharges for Trust reporting.

5. Secretarial or administration qualification e.g. RSA level 3/ NVQ level 3/ or equivalent demonstrable experience and level of knowledge

Experience/ Qualifications

7. a) Experience as secretary/ PA/ administrative role in an office environment
8. b) Experience in servicing meetings and taking accurate minutes
9. c) Working knowledge of Microsoft Office programmes and Accurate and proficient keyboard skills

10. Experience and knowledge of the working practices of an acute NHS Trust and Knowledge of discharge planning procedures
