An exciting opportunity has arisen for a full-time administrator to work as part of a busy administration team within CYP North. We are a large multi-disciplinary team providing mental health services for children, adolescents, and their families. The post holder will carry out reception and administration duties on behalf of the clinical team, including:
* Welcoming visitors to the clinic
* Processing telephone enquiries
* Inputting patient information into the Trust's electronic records
* Arranging appointments for the Clinic Team
* Scanning and managing outgoing and incoming post
* Formatting clinical letters
You will be supported by an experienced administrative team and have opportunities for development. Main duties of the job
* Maintain confidentiality and ensure clear communication with clinicians, colleagues, and other services (internal and external from CAMHS)
* Work independently within broad procedural guidelines, adhering to Trust policies and promoting equality and diversity
* Collaborate with Senior Administrators and Secretaries to ensure effective communication
* Greet visitors, including children, young people, and families referred to the service
* Handle telephone enquiries on behalf of the Clinic team
* Input patient data into electronic systems, with training provided
* Type minutes and confidential reports, circulating as needed
* Arrange appointments and maintain the Clinic diary
* Manage electronic and physical filing systems, including archives
* Assist with statistical data collection
* Provide cover during annual leave for team members
* Utilize internet and ICT systems to support administrative tasks
* Complete routine and non-routine tasks proactively, updating skills through mandatory training
* Prioritize workload independently and work autonomously using established guidelines
* Participate in annual appraisals with line managers
This role involves access to vulnerable individuals and is subject to Disclosure and Barring Service (DBS) checks. Candidates must be educated to secondary level, with at least 2 years' office experience, NVQ3/RSA3 or equivalent, and good knowledge of GDPR and the Data Protection Act 2018. Healthcare experience and additional qualifications such as ECDL are desirable.
