We have exciting opportunities for you in our clinical support patient facing administration workforce. This team supports our clinical staff and enables front-line Doctors, Nurses and Allied Health Professionals to deliver excellent care. The role provides administration support to the Surgical Emergency Unit (SEU) and contributes to the smooth operation of hospital wards.

The successful applicant will join a friendly team of ward clerks based within the Surgical Emergency Unit. The post holder will work within SEU F-side, primarily on weekday shifts, delivering a high-quality administration service to support the clinical activities undertaken on the SEU. We offer a supervised period of training and are committed to staff development to help you grow in the role.


Responsibilities

* Be responsible for the reception of patients, relatives and ambulance staff in a calm, professional and polite manner.
* Provide excellent customer care with a caring and responsive approach to those attending the hospital.
* Use tact, diplomacy, understanding and compassion when communicating with patients and visitors who may be distressed.
* Answer telephone calls from referring doctors regarding admission or transfer of patients to the SEU; communicate effectively to the on-call clinical team.
* Collect personal and confidential information to complete the admissions process, ensuring patient confidentiality at all times.
* Accurately record and input information into the Trust's EPR system in a timely manner.
* Complete admissions processes within SEU F-side, including printing labels and wristbands for all patients.
* Scan patient documentation into correct patient records in EPR according to Trust guidelines.
* Ensure tracking and requesting of medical notes for SEU patients.
* File departmental records and organise the culling of filed notes in accordance with Trust guidelines.
* Ensure overseas patient information is entered accurately onto EPR to ensure appropriate charges are incurred.
* Photocopying and other general office procedures.
* Handle general enquiries to the unit regarding patients from internal and external parties (e.g., Police, other healthcare workers, insurance companies) and direct them to the correct department.
* Support the SEU team with administration cover during peak workload or staff shortages as requested by management.
* Understand own role and involvement in a Major Incident.
* Contribute to personal development through mandatory training and annual appraisal.
* Participate in induction and training of new team members. This role involves access to vulnerable people and may require DBS disclosure.


Qualifications and Skills

* Education: Good general education (GCSE or equivalent in English). Recognised IT qualification; NHS experience or customer service experience; good IT skills.
* Special skills: Analytical and judgement skills; attention to detail; excellent communication skills; ability to communicate with individuals at all levels; excellent keyboard skills; ability to prioritise own workload and meet deadlines; ability to work under pressure; ability to work without supervision; willingness to attend further training; flexible approach to changing service needs.
* Additional information: Strong commitment to patient confidentiality and accurate data handling.
