Conveyancing Admin Assistant – Clitheroe

Location: Clitheroe

Salary: Competitive, DOE

Working Pattern: Full-time, Office-based

Firm: Well-established regional law firm


Overview

A highly regarded regional law firm is seeking a Conveyancing Admin Assistant to join their expanding Residential Property team at their Clitheroe office. This is an excellent opportunity for an organised, proactive, and detail-focused individual looking to begin or further their career in conveyancing within a supportive and professional environment.

The successful candidate will work closely with conveyancers and fee earners, providing essential administrative and file management support to ensure the smooth progression of residential property transactions from instruction through to completion.


Key Responsibilities

Administrative & File Management Support

* Opening new conveyancing files, preparing client care packs, and collecting onboarding documentation.
* Conducting ID checks, AML verification, and ensuring compliance with firm policies and regulatory requirements.
* Managing and maintaining accurate and well-organised digital and physical files.
* Assisting with drafting standard documents, letters, and forms under supervision.
* Preparing and sending out initial forms, questionnaires, and contract packs.


Client & Third-Party Communication

* Acting as a first point of contact for clients, estate agents, lenders, and other solicitors.
* Handling incoming calls, emails, and general enquiries professionally and efficiently.
* Providing regular updates to clients and stakeholders throughout the transaction.


Conveyancing Process Support

* Requesting searches, obtaining Land Registry documents, and ordering redemption statements.
* Assisting with post-completion tasks including submitting SDLT forms, preparing AP1s, and liaising with the Land Registry.
* Logging incoming documents such as search results, contract papers, and replies to enquiries.
* Ensuring all key dates, deadlines, and tasks are recorded and actioned promptly.


Team & Operational Support

* Supporting fee earners with day-to-day administrative tasks to ensure workflow efficiency.
* Managing diaries, arranging appointments, and maintaining accurate internal records.
* Ensuring all correspondence, documents, and data are logged and saved correctly on the case management system.
* Assisting with printing, scanning, filing, and preparing bundles or documentation for meetings.


Skills & Experience Required

* Previous admin experience within a law firm or conveyancing environment is desirable but not essential.
* Strong organisational skills with excellent attention to detail.
* Confident communication skills, both written and verbal.
* Ability to manage multiple tasks and prioritise effectively.
* Good working knowledge of Microsoft Office and case management systems (training provided).
* A proactive, positive attitude and willingness to learn.
* Ability to work well within a team and provide exceptional client care.
