Offer description

Job title: Accounts Payable Administrator

Hours: Part time, 20 hours per week

Based from: Remote/Gloucester

Reports to: GBE Assistant Accountant


The Role

This role supports the maintenance of the purchase ledger, processing invoices for payment and reconciling supplier statements to ensure the finance team meets deadlines and targets.


Duties and Responsibilities

* Post and process supplier and subcontractor invoices to relevant accounts using Sage 200/Eque2
* Download and post invoices following approval from portal logins
* Verify invoices against purchase orders; query purchasing team & project managers for discrepancies
* Sort and distribute invoices and credit notes via email
* Code invoices and arrange sign off by department managers
* Reconcile supplier statements promptly to maintain accurate financial reporting and supplier payments
* Communicate with suppliers to raise invoice queries or request copies by phone and email
* Maintain electronic filing of invoices and purchase ledger folders
* Process expenses and credit card statements
* Provide ad‑hoc support to finance and senior leadership as required


Person Specification


Essential

* Accounts Payable/billing and payment experience
* Excellent communication skills
* Excellent organisational and time‑management skills
* Working knowledge of MS Word and Excel, confident using IT software
* Excellent attention to detail, analytical thinking, and problem‑solving skills
* Ability to prioritise workload as per operational need
* Ability to meet deadlines and work to a timetable


Desirable

* Knowledge of Sage 200 & Eque2
* Excel experience
* Experience of multi‑currency purchase invoice processing
