Summary
We are seeking a dedicated Purchasing Assistant to join our team in Silverstone, Northamptonshire.
In this role, you will support procurement activities to ensure the timely acquisition of materials and services aligned with our company's standards and project needs.
Your contribution will be vital in maintaining our commitment to excellence and innovation.
Hours
Monday to Friday - 9am to 5pm, 60 minutes for lunch (35 hours week)
Main Procurement Duties
* Maintaining daily communications relating to Procurement (internal & external) by email and telephone.
* Running of reports assisting in maintenance of system-based data.
* Daily monitoring & processing of delivery data, assisting in the expediting of orders where required.
* Review, generate & process purchase orders with Suppliers based both on customer requirement and system-based data (including internal production & works orders).
* Upholding the monitoring, inspection & processing of Supplier Order Acknowledgements; Reporting/logging any anomalies as required.
* Assisting in general maintenance of Purchase order management, running and using relevant reports as required.
* Assisting with purchase invoice queries, gathering information/fact finding as necessary.
* Assisting in the setup, revalidation & maintenance of products, including liaising with suppliers to obtain any necessary information and compliance documents.
* Executing requests to suppliers & the maintaining of system records regarding pricing as directed by the Procurement Controller.
* Scheduling & execution of planned supplier pricing updates (quarterly, semi-annual & annual).
* Circulation of relevant product pricing information to the customer services and sales teams as required.
* Assisting the Procurement Controller in the management of the product obsolescence process.
* Supporting in the dissemination of relevant procurement & inventory related information/issues to the wider company (supply issues, pricing, lead times, late deliveries etc).
* Assisting the Procurement Controller in the set up of new suppliers by obtaining relevant information and overseeing the completion of required forms and documentation.
* Assisting the Procurement Controller in the management and maintenance of supplier information.
* Actively maintaining and developing existing Supplier relationships through regular contact.
* Completion of stock adjustments, depot transfers & daily issuing as required and where applicable.
* Assisting in data gathering & investigations relating to the quality management system, using the relevant reports as required.
Other Duties
* Ensuring that you maintain your own awareness of any changes in legislation that affect the business.
* To maintain communication with your line manager and/or Directors of any important and relevant issues.
* Ensuring that you uphold all aspects of our Quality Management System.
* Assisting in the data capture of any errors affecting the business.
* General administration and filing as required.
* Assisting with Customer Service administrative support as required.
* Assisting with QA administrative support as required.
