Job Summary
We are seeking to recruit a part-time Deputy Practice Manager to work 30 hours per week, spread over 4 or 5 days. This role is a vital part of our Management Team, providing essential support to the Practice Manager. The Deputy Practice Manager will act as the Practice Manager in their absence.

Ford Medical Practice is a well-established, patient-focused GP practice serving a community of 6,000 patients. We are a paper-light, digital-first practice utilizing the EMIS Web clinical system. Our team includes two GP Partners, a Practice Nurse, a Student Nurse Associate, and Administrative and Management staff. We are a registered Training Practice fostering professional development within our team.

Job Responsibilities
Operational Management
* Assist in the day-to-day management of the practice, ensuring effective administration and smooth workflow
* Oversee appointment systems, patient access, and reception operations to maximise efficiency
* Support the implementation and maintenance of practice policies, procedures, and protocols
* Contribute to business continuity planning and risk management
* Support the Practice Manager in managing the practice estate, including overseeing maintenance, cleaning contracts, health and safety checks, and liaising with external contractors
* Assist in monitoring and ordering of consumables and clinical supplies to maintain stock levels and cost-effectiveness
HR and Staff Management
* Support with staff recruitment, onboarding, and retention
* Develop and maintain an effective training and development programme for all practice staff (clinical and administrative), ensuring mandatory and role-specific training
* Coordinate with external training providers and maintain up-to-date staff training records
* Assist with workforce planning, rota management, and absence monitoring
* Participate in performance management processes (appraisals, supervision) and support staff development plans
* Foster a positive, inclusive working environment and promote staff wellbeing
* Provide administrative support for trainee placements (inductions, timetables, annual/study leave) and act as a point of contact for trainees and supervisors
Compliance and Quality Assurance
* Support the Practice Manager in ensuring CQC compliance and readiness for inspection
* Help monitor and improve internal processes to maintain high standards of patient care
* Contribute to health and safety compliance and infection control procedures
* Lead significant event analysis, including investigation, documentation, and reporting of key incidents
Finance and IT
* Assist with financial management, including petty cash and invoicing
* Support payroll input, ordering supplies, and managing supplier contracts
* Ensure effective use and maintenance of IT systems (e.g., EMIS) and support staff with IT queries and training needs
* Assist with data quality and reporting for QOF, Enhanced Services, and other performance metrics
Patient Services and Communication
* Support management of complaints, incidents, and feedback
* Maintain professional liaison with patients, healthcare professionals, and external agencies
* Promote excellent patient care and confidentiality; manage and resolve complaints in line with policy
Person Specification
Qualifications (Essential)
* High standard of secondary education
* GCSE Mathematics C or above
* GCSE English C or above
* Evidence of further education
Experience (Essential)
* Experience of working in Primary Care
* Practical experience of general business management
* Practical experience of managing and motivating people
Skills (Essential)
* Good analytical and problem-solving skills
