Job Title: Project Support Officer

Pay rate: £17.73 per hour PAYE
Role length: Anticipated 3 months
Working arrangements: Hybrid – at least 3 or 4 times a week in the office
The role
You will provide a seamless and proactive project support function central to the success of the Housing Services Team which aims to provide residents with the best housing management services in the country.
You will need to have excellent customer service and communication skills as well strong organisational and administrative skills with the ability to multitask, use initiative, solve problems, work independently, and effectively prioritise conflicting workloads. You must be willing to carry out site visits and assist with resident engagement activities.
Key responsibilities
* Support the Senior Housing Managers, Housing Managers, the Maximising Safety and Capital Works Project Manager and all other members of the team with an effective administration service
* Assist in managing projects and presenting projects using MS applications to reflect the team in a professional light and to help collate data for reporting purposes
* Help produce the quarterly newsletter and assist with other communications related tasks such as mail merge, text burst and maintaining email and WhatsApp groups as and when required
* Conduct Home and MOT visits
* Attend site visits and take photos
* Assist with resident engagement activities
* Support Housing Managers with rent account tasks (e.g., printing letters and statements)
* Provide project management support by tracking, documenting, and managing risks, actions, and issues to ensure successful project delivery
* Manage and oversee financial processes, including raising purchase orders, tracking expenditure, maintaining records, processing invoices, and ensuring suppliers are correctly set up on corporate systems
* Organise, schedule and take minutes for meetings, distribute agendas and materials, and produce accurate notes, letters, reports and presentations promptly
* Manage electronic information and shared folders
What the client is looking for
* GCSE (or equivalent) in Maths and English
* Knowledge of Microsoft Office packages
* Excellent customer service and communication skills
* Strong organisational skills with the ability to multitask, use initiative, solve problems, work independently, and effectively prioritise conflicting workloads
* Excellent interpersonal and networking skills
* Good negotiating skills, able to deal with situations of conflicting demands and needs
