The job itself
We are seeking a motivated and well‑organised Occupational Health & Safety Administration Assistant to join our Occupational Health & Safety Team as soon as possible, on a fixed‑term basis for 12 months. The team operates as a support function, upskilling and empowering services across the Council and external clients, delivering high‑quality occupational health and safety services. In this role you will provide essential administrative and coordination support, helping to ensure that health and safety activities are effectively managed, recorded, and reported, and that the Council operates within legislative requirements, regulations, and codes of practice.
A key focus of this role will be to support a significant, time‑limited project to repatriate, review, and securely digitise a large volume of sensitive Occupational Health records currently held off‑site. This is an important compliance‑driven project that will strengthen information governance, reduce long‑term costs, and ensure records are managed in line with data protection and retention requirements. The role will therefore suit someone who is comfortable undertaking detailed, methodical work over sustained periods, with a strong commitment to accuracy, confidentiality, and consistency.
Alongside this core project work, you will support the Occupational Health & Safety Team by providing a comprehensive administrative service, including the coordination of inspections, audits, and training activity; maintaining accurate records, databases, and management information; and supporting the collation and analysis of health & safety data to inform reporting and future planning. You will assist with the preparation of reports, correspondence, and documentation, support accident and incident investigation processes through accurate record‑keeping, and act as a key point of contact for internal and external stakeholders. The role requires effective communication, attention to detail, and the ability to manage competing priorities while working collaboratively with colleagues across the Council.
You will also assist with the review and updating of health & safety documentation, policies, and procedures, and undertake specific tasks and projects as directed by the Senior Health and Safety Officers and the Occupational Health & Safety Manager.
You must have strong administrative and organisational skills, excellent attention to detail, and the ability to manage information accurately and confidentially. You will be comfortable working with sensitive personal data and following clear processes and controls. Strong communication and interpersonal skills are essential, along with the ability to work collaboratively with team members and stakeholders.
You should have experience of providing administrative support in a busy office environment, confidence in using IT systems and Microsoft Office applications, and an understanding of the importance of compliance, record‑keeping, and governance. An awareness of occupational health and safety principles, data protection requirements, or a willingness to develop knowledge in these areas is desirable.
